What's New in CourtReserve October 2025

CourtReserve’s October release was all about simplifying how clubs manage demand, data, and engagement. 

With new tools that promote fairness, prevent errors, and simplify communication, this release strengthens the foundation of what every club needs: efficient operations and a reliable, transparent experience for players and admins alike.

Here’s what’s new in CourtReserve:

Reservation Lottery: Handle high-demand bookings fairly

Reservation Lottery gives every member an equal chance to reserve a court during high-demand times — reducing booking stress and helping your club manage peak traffic more fairly.

Instead of first-come, first-served reservations, members submit booking requests within a short time window you set (typically 15–60 seconds). Once the window closes, CourtReserve randomizes the order of those requests and processes them automatically — confirming reservations in a randomized sequence.

How it works

For clubs:

  • Set a daily lottery window and define how long it stays open (15–60 seconds)
  • Randomize and process all reservation requests once the window closes
  • Ensure every member has an equal chance at high-demand court times
  • Reduce booking pressure without changing your existing workflows

For players:

  • Submit reservation requests as usual during the lottery window
  • Automatically enter the randomized booking process
  • View confirmed reservations in My Bookings or retry if a court isn’t available

Reservation Lottery removes the race-to-click chaos and neutralizes automated booking tools, giving members a fair, balanced way to compete for high-demand courts.

New Portal Setting: Restrict name and date of birth edits

This new Portal Setting gives racquet clubs greater control over member data by locking key personal information fields after account creation. 

Once enabled, members can no longer edit their First Name, Last Name, or Date of Birth through the member portal — helping clubs maintain accurate records and prevent misuse.

How it works

  • Locks the First Name, Last Name, and Date of Birth fields for members and any linked family members once they’ve been initially entered
  • If a player does not have a Date of Birth on file, they can still add it — but once it’s saved, it becomes locked and cannot be changed
  • Restriction applies to Personal Information page and the Edit Family Member option under My Family
  • Locked fields appear in gray with a tooltip explaining that the information cannot be changed

This setting helps clubs maintain consistent, trustworthy member data and prevents players from altering details to bypass age restrictions, membership eligibility, or other system rules.

Audit Log: Event restrictions tracking

The Event Audit Log now provides even greater visibility into your event management activity by tracking all changes related to event registration restrictions.

This ensures admins see exactly when and by whom restrictions were added, edited, or removed — improving transparency and accountability across every event update.

How it works

  • Tracks creation, edits, and removal of event restrictions
  • Logs updates to rating, gender, and age restrictions each time an event is modified
  • Provides a detailed activity trail for accurate, auditable record-keeping

With this update, clubs can maintain a clearer history of event changes — helping admins resolve questions faster, prevent confusion, and ensure all restriction updates are properly documented.

Reservation cancellations & event withdrawals: Define when members can make changes

With this update, clubs can now decide exactly if and when cancellations and withdrawals are permitted — keeping booking activity aligned with club policies.

How it works

  • Allow Members to Cancel Reservation: Decides if members can cancel their own bookings.
  • Allow Members to Withdraw from Event: Mirrors the same functionality, defining when players can withdraw from events.
  • When these settings are turned on, clubs can still apply time-based limits — for example, preventing cancellations or withdrawals within 24 hours of the start time.

Together, these settings help clubs reduce last-minute changes, maintain organized schedules, and give members a clear understanding of when cancellations are allowed.

More CourtReserve product enhancements

Beyond the headline features, this release delivers a range of refinements to enhance visibility, simplify workflows, and strengthen the member experience.

Here’s the highlights:

  • Auto-Assigned Packages: Assigned One Month in Advance Issue Packages one month early, letting members see and use their package in advance.
  • Child Waiver Navigation & Experience Update – Children with login access can now browse the portal even if their waiver is incomplete, with clear messaging directing parents to complete it before booking.
  • Display Court Assignment on My Bookings Cards – Assigned courts now appear under My Bookings, giving players quick visibility before arriving.
  • Event URL Update: Direct Links to Public Register Page – A new Public URL button lets admins copy event-specific links that now open directly to the Event Details page.
  • New Portal Setting: Show Masked Phone Numbers – Choose whether masked phone numbers appear in member search results.
  • “#” Added to Brivo PIN Codes – Brivo PIN codes now automatically include a “#” symbol at the end, indicating players must press it after entering their code.
  • Network Memberships: Connecting Families Update – The system now detects if a player already belongs to a family when linking Network Memberships, preventing duplicate or conflicting assignments.
  • Recurring Reservations: Cancellation Notifications for Individual Dates – Automatically send notifications when individual dates within a recurring reservation are canceled.
