tell you guys about today is um so back in the summer, we released widely our

network memberships feature for all of our enterprise customers. If you joined me in September, I think it was

September, um I did a whole webinar on what enterprise features we have available. And one of those things was

network memberships. And so, one of the things that we did release in Q3 was just a another feature for network
4:11
memberships. and that is the ability to transfer memberships if you have a
4:16
network membership um on the admin side. So if I’m viewing this customer um they have a network membership, I can
4:22
actually hit this transfer membership button and that membership can be transferred to another location within
4:29
my network. So, let’s say this person’s moving or something um you know, for whatever reason, I can just transfer
4:35
this membership to another club and then um that person can enjoy the primary
4:40
privileges at that new location. One of the cool things this does is that person maybe they’re moving cross country,
4:45
they’ve never even been to this location before, um it will actually create that person in the club as well. So, you
4:51
don’t even have to worry if that person exists there or not. And it’ll take their whole family with them, too. So, that’s pretty cool. Um, another cool

thing we did with network memberships, I don’t have a this live for you to view, but um, if you are creating a new new

network membership, all of those custom cost fields, I know some of our clubs have tons and tons of custom costs. When

you create those new memberships, all of those custom costs are going to carry across to locations. Same as if you’re
5:17
setting up your location template and you create new locations, all of those custom costs are going to filter into
5:22
those new locations, whether you have a network membership or a local membership. Um, so it’s just one of those things to make admins lives easier

as they’re onboarding new clubs and as they’re opening new pieces of their franchise. We also did that for sales
5:34
tax too. So the sales tax will copy over as well. Um, the other thing we did this
5:40
quarter which is exciting is we released an update to our instructor time report.

So, if you go to reports and you click instructor time,

and this is a simple update, but it’s another update that we did as a quickpick request from our idea board just to make lives of admins a little

bit more easier. Um, when you’re going through and trying to reconcile time and hours at the end of the month or at the

end of your pay period. Um, we know lots of admins have lots of instructors that uh come and go and uh, you know, the

nature of a of a pro is a little bit of a transient um, business sometimes. And
6:13
so, um, you can actually now filter that instructor time report based on active or inactive pros. So, if you only want
6:20
to see which pros are active, um, you can filter that out and get that in your report results as well. Um, so you’ve
6:27
got an active and inactive filter there too, just to make those results outputs a little bit easier for you. And then
6:34
another feature that we added this quarter that I’m really excited to tell you all about is I think it’s on. Sorry

guys, let me just go back to my settings page here. So, this is a feature that we actually introduced into beta during Q3.

And today, as of this morning, very early this morning, every customer in
6:55
court reserve now has access to this feature. And that is a new feature we call reservation lottery. Uh so, what is

a reservation lottery? Well, a reservation lottery is a really a fair play way for youth clubs that maybe have
7:11
reservations opening at a specific start time every day. Um, as a way to, you
7:16
know, collect all of those reservations into a queue system and then we will
7:22
randomize those reservations and book the courts according to that random order. So, what does this do? This
7:28
really equalizes fair play across the board for your members. So, the fastest
7:34
click doesn’t always win. Um, that was a big feedback item that we would get from clubs a lot is that, you know, I can’t
7:40
click it fast enough. My internet connection is not as fast as my friend and he always gets a court and I don’t. So, this is just a way to kind of level
7:48
that playing field. And it’s really easy to set up. What you do is you go in to
7:53
settings, you click reservation lottery. It’s also available in that tab structure across on that booking settings row, so you can get to it from
7:59
just about anywhere. Um, and when you enable it, you’re going to set how long you want this queue. So, it’s really a

queue. So, what they do is at that start time. So, then you’ll set your start time. Your start time is based on it’s going to default to the first column of
8:13
your memberships in your bookings restrictions row or your booking settings row. Um, but you set a time of
8:19
day every day that this is going to run. And at that 7 a.m., so in this example, 7 a.m. every day, I’m going to my
8:25
reservations, all of them will turn into a queue basically. And so at this point for 60 seconds, all of my reservations
8:33
will be collected at the same time. And so what are your members going to see? They’re just going to see a simple
8:38
screen that says, “Hey, hang on a second. We’re collecting all of our reservations right now.” And then we’re
8:43
going to randomize them. And then once that Q system finishes, it’s just going to randomize all of your reservations
8:49
and book them in a randomized order. So that we didn’t do anything um on the end of that with court prioritization and
8:56
things like that. So everything after that is still going to run as normal. Everything before will run as normal. Everything after will run as normal.

It’s just this small window of time right when those reservations open that everything will just funnel into this queue and then we’ll book the

reservations in that randomized order. So if you’d like to learn more information about this, this is

I see we have a question about uh transferring network memberships if you’re done with the reservation

lottery. Sure. Um, so the question is when you transfer a member to another location, is it

going to delete the member from the original location? No. That’s a great question. So, I’ll

actually do that for you live right here. So, um it’s not going to delete that player. So, with a network
9:59
membership, your members can belong to multiple locations with one membership.

Okay? So, they purchase it in their primary location as we call it here. Um and then if they access other clubs,

that network membership is going to follow them. They don’t have to repurchase a membership. So, in this example, let’s say this person’s moving.

Um you hit transfer here. Now that member is still going to exist in my

location but with the network component. And so when they are in a location where their membership is not owned. Then this

membership becomes what we call the network component. And that is noted by this this the network membership changed

a little bit. It just showed all access family before. Now it shows this with a network in parenthesis. And that’s just

at this club. This person has this membership here. So um again I did a webinar all about network memberships

now grab the event URL for all of your events from youruler. So, if you hover

over any event now in your mainuler, we have this um link button right here. And

So, it’s just another simple way to get admins um those links because previously

All right. Thanks, Kim. Okay, so I want to take a moment to share a recent release we had around subadmin

permissions and refunds. Uh, so we’re going to head over to settings, then organization settings, and system users.

and whether you are creating a new subadmin or editing an existing one, you’ll see the change we’ve made down on
13:58
the permissions table. So, previously the way that this was set up was a subadmin in order for them to have
14:04
access to process refunds, they also would have needed this has access to transactions permission enabled as well.

Uh you wouldn’t even be able to see this option unless they had access to transactions. So, that’s the change
14:17
we’ve made is basically removing that dependence. Uh you’ll see now that the allow processing of refunds line or
14:24
permission is on its own. You don’t need to have this line checked in order to have that. So this essentially gives
14:31
your sub admin permissions to process refunds, but they don’t need access to all of your financial reports and
14:37
transaction tools to give you some more control over who sees and who has access to that information. Um so I do want to
14:45
give you a chance to see what that looks like on the subadmin side. So this is Dave demo. He’s got access to process
14:53
refunds but not access to all the transactions. So we are going to log in as Dave.

And so you’ll see Dave still has transactions here on the left side but when we click that he only has access to
15:06
refunds and the end of day report. Um so he can go into refunds he can review any
15:12
pending refunds. He can review the accepted refunds and refused refunds. So

he can still issue refunds to members just like before, but now he wouldn’t be able to do that from the transaction
15:23
list. They have to go to the members transactions and he can process process them from there. Um I do want to touch

the end of day report does still show up. Um so they your sub admins can go in here but they will only see the amounts
15:37
from payments that they’ve processed themselves. Um, this is just so they can still reconcile all of their their
15:43
payments each day, but they would not be able to see amounts from any other system users included in there just for
15:50
them. Um, so yeah, that that was it on my end, but main mainly just a chance to
15:55
give you some more control over who has access to transactions, but still giving your subadmins opportunities to to do

the work that needs to be done. All right, and stop sharing. Yeah, pass

All right, great. So, yeah, I have a few improvements and updates that I wanted to touch on for my side. Um, for this

quarter, we’re mostly going to be focusing in on some updates to some additional features and integrations

that we have, as well as some of our notification and communication tools.

So, first I’m going to start off on an update that we have made for packages. If you were not aware, there used to be
16:43
a point of friction with packages where after a player had paid for a
16:48
reservation using punches, they would no longer be able to edit that reservation,
16:54
even if their membership should give them access to editing that reservation. So, we have since updated this. So now

if I go in and I pay for this reservation,
17:10

I did previously have a package here, but it looks like it’s not showing anymore. So I’ll just kind of talk over

the differences that would show up on the edit reservation modal if I did pay for this. So now when you have paid for

a reservation with a package, you would be able to get to this edit reservation page. Um really the main differences

that you would see versus what I’m showing right now is if you have paid for this reservation using punches, you
17:46
would be restricted from editing your reservation type as well as your duration since those are two key factors
17:54
that make this reservation uh eligible to be paid for with the punch. So those two fields would be
18:01
restricted from the player still, but they would be able to still edit their reservation date, the t start time of
18:07
their reservation. They could still add additional players or guests if they needed to. Um, so that was an update
18:14
that I wanted to point out related to packages. So let me jump back over to the admin side and I can start going
18:21
over some other updates that we have made for some of our integrations.

So the first one that I want to touch on is our save my play integration. We have added some new setup settings. So when

we go to settings on the sidebar and we scroll all the way to the bottom. If we are already using save my play, we can
18:41
go over to the video recording page. And there’s two new settings here that I
18:47
want to focus in on. Um, the first one, I believe I touched on this during the last quarter’s webinar because we had
18:54
released it just in between the two quarters, but we can now set up our recording cost by membership type. Um,
19:00
we used to only be able to set up a global price for our recordings, but now we have this call out here that will
19:08
allow us to go to the booking settings court page or cost page. And on the
19:14
court cost tab all the way on the bottom. Now, if you are using the Save My Play integration, you will be able to
19:21
set up your recording costs by all of the different membership types that you have in your organization.

Another update that I wanted to touch on is a new setting that we’ve added on this page to show the integration to

following memberships. So, previously you were only able to show this integration to everybody or nobody. So,

we’ve added this new setting here. So now you can pick and choose which membership types will actually be able
19:48
to see the Save MyPlay integration on your mobile app. So that way if you want to, you could make the Save My Play
19:56
integration a perk or an additional feature that is only available to specific membership types that you have

at your organization. All right, so that goes over the additional feature and integration
20:08
updates that I wanted to touch on. Next, I’m going to move over to some of the notification and communication updates

that we have made. So, last quarter, I had talked about an update that we had
20:21
made to text alerts where now moving forward, if you were under the tiered
20:26
pricing for our subscription, you would be able to migrate to a local phone number that you could assign to your
20:33
organization. And that new phone number would be what all of your system notification text and bulk text would be
20:40
sending from. We have since added this functionality to all of our legacy pricing customers. So if you are under
20:47
legacy pricing and you go to settings on the sidebar, this bottom row here is
20:52
labeled as add-on if you’re under the legacy pricing. But when you go to the add-ons page, you’re now also going to
21:00
be able to see this switch to local phone number button here where you can migrate to that local phone number or if
21:06
you’ve never used text alerts before and you’re turning it on for the first time, that’s going to be when that local phone
21:12
number gets assigned. Another update that we have here was we got some feedback from some organizations. And

previously how this setting worked was once you migrated or enabled text alerts, you would be assigned the first
21:26
phone number that our text provider could find that matched with your address. And we wanted to give
21:32
organizations a little bit more flexibility when it came to assigning this phone number. So, we have also
21:39
added an update that will allow you to pick from up to 10 phone numbers that our text provider finds based on your
21:46
address. So, when you click on the switch to local phone number button now,
21:51
um first you’re going to confirm your address based on the address you have under your organization settings. But
21:57
once you have confirmed that, you’re now going to see 10 phone numbers from our text provider. and you’ll be able to
22:04
pick and choose which phone number you would like to assign to your organization.

So, those are the improvements for text alerts that we have made. Um, next I want to go over some updates that we

have made to our bulk email and our email notifications.

So, if we go over to settings on the sidebar and you go to the reservation

settings row, we do have a page here called email messages. And for anybody that’s not familiar with this page or

what you can do here on this page, you’re going to be able to add some custom messaging to the top or bottom of
22:40
some of the notification types that send from your organization. So, it doesn’t give you full customization to the
22:48
formatting or information that shows on a system notification, but it will allow you to at least add some custom
22:55
messaging maybe about policy at the top or the bottom of your emails. So, the
23:01
update that we made here was last quarter we had separated out our reservation and our lesson
23:07
notifications. They used to all be just under reservation. Um but now we have a separate reservation and lesson
23:14
category. So with that we have added the lesson notifications as separate email
23:19
types to this custom email message page. So now if you have different messaging
23:25
that you want to add to your system notifications for lessons versus reservations, you would be able to do
23:31
all of that from this page. Now, um, when we did release this, we did copy your reservation messaging to all of
23:39
your lesson, uh, notifications, so that way we weren’t disrupting how your current notifications were sending out.

But you do have the ability to go in and edit or create some new messaging for your lesson notifications if you would
23:53
like to do so. All right. And the last thing that I
23:58
want to touch on, I did touch on a little bit during the last webinar for

last quarter. Um, but I want to add a little bit more context to it. So, at the beginning of last quarter when we
24:10
were touching on the bulk emails, we had added an update to
24:16
our bulk emails where after you had sent out that email, you would now be able to
24:22
see the open rate and see the click rate for that email. In addition to that, when you go to the send email details
24:30
page, we have these new graphs that will show you the open rate, click rate, and bounce rate for these emails. In
24:37
addition to that, when you have this email sent out and once you have had some players that have opened it or
24:43
clicked any links in it or if there were any emails that failed, you would also be able to see the percentage of players
24:50
that you know fit under that open rate or click rate metric. And in addition to
24:55
that, when you click on that percentage, you can see that specific list of players and you can notify them. So, for
25:02
example, if we have a group of players that did not successfully receive this email for any reason, we could go into
25:08
the bounce rate metric, see all of the players that did not successfully receive that email, and we could send
25:15
them a text message or a push notification letting them know that for some reason the email address on their
25:22
account is not working properly. and they should, you know, double check their email address to make sure it is
25:27
working correctly um or that it’s typed out correctly. So, this update was really part of a
25:34
larger project that we were working on. And this is going to sort of transition into the next section that I have for
25:41
the webinar, which is two new exciting features that we have in beta that I wanted to share with everybody. So, let

All right. So, we have two exciting features that are either now in beta or are getting ready to be in beta. Um, the

first one I’ll go over is our integration with PlaySt. So, this is another video recording integration that

we have been working on. It’s going to work pretty similar to the integration that we have with Save MyPlay, but we

did want to add another provider here as another option for our customers. And
26:22
this is currently available now for beta. Um we have about 10 organizations that are already using this integration
26:29
here. Um so if there are any organizations that already have playsite cameras set up in their organization and
26:36
they want to try out this integration, definitely feel free to reach out to our support team and they can notify me and
26:43
I can make sure we get this integration added into your organization. Um, for anybody that’s not familiar with our
26:50
video recording integrations, they really give the player a quick and easy way to initiate a recording um, for a
26:58
booking or a registration that is on their account. So, as you can see in this screenshot, there’s going to be

this new row on your modern dashboard homepage. Um, this is how the Save My Play and the Playite integration work.

So with both integrations, you can easily click the record my session button. And from there, the player then
27:18
gets to select the court that they want to record and the duration of the
27:23
recording that they would like to initiate. Um, and just to to add to this here, when you’re setting up either of

these integrations, there are some additional recording restrictions you can set up. So, that way a player only
27:36
has access to recording certain courts if they have a booking or a registration
27:41
on that court there. So, this is one of the first features I wanted to point out that we have available for beta. Now,

uh, the second feature kind of ties into the email metrics that we were talking about. This has been a project that I
27:54
have been working on for a pretty long time and I’m pretty excited to start sharing this with our customers. Um, but

a new feature that we are going to have ready for beta next week is going to be
28:06
our email campaigns project. So, over the last year or so, we have really been
28:12
taking in a lot of the feedback and limitations and points of friction that
28:18
organizations have been having with our bulk email editor. and we really wanted to just add a bunch of new functionality
28:25
here and really make the bulk email editor a lot more robust. So, from a
28:30
high level, some of the additional features that you’re going to see with our improvements to the bulk email
28:36
editor are that one, you’re going to be able to create and manage multiple draft
28:41
emails. Um, two, with the sent emails, you’ll continue to be able to see all of those email metrics that you have for
28:48
those emails. And then you’ll also be able to create and use email templates when you are creating an email. So if
28:56
you want to create a newsletter template um or if you want to create a template for a short message that you need to
29:02
maybe urgently send out to your players, you can create all of those different templates using the advanced email
29:08
editor that we’ve had inside of court reserve and easily use that template whenever you are starting to create an
29:15
email. In addition to that, we have also updated the email creation process just
29:22
so it’s a little bit more aligned with a software sort of like Mailchimp. Um, so

it’s sort of broken up into a four-step process that we have. Um, and I’ll kind of go over this at a high level. If you

and some resources to share with you. Um, but the last main point of functionality that I want to add is

we’ve also added a way for you to schedule out your emails for a later date in time. I’m very excited about

Reservation Lottery: Handle high-demand bookings fairly
Reservation Lottery gives every member an equal chance to reserve a court during high-demand times — reducing booking stress and helping your club manage peak traffic more fairly.
Instead of first-come, first-served reservations, members submit booking requests within a short time window you set (typically 15–60 seconds). Once the window closes, CourtReserve randomizes the order of those requests and processes them automatically — confirming reservations in a randomized sequence.
How it works
For clubs:
- Set a daily lottery window and define how long it stays open (15–60 seconds)
- Randomize and process all reservation requests once the window closes
- Ensure every member has an equal chance at high-demand court times

For players:
- Submit reservation requests as usual during the lottery window
- Automatically enter the randomized booking process
- View confirmed reservations in My Bookings or retry if a court isn’t available

New Portal Setting: Restrict name and date of birth edits
This new Portal Setting gives racquet clubs greater control over member data by locking key personal information fields after account creation.
Once enabled, members can no longer edit their First Name, Last Name, or Date of Birth through the member portal — helping clubs maintain accurate records and prevent misuse.
How it works
- Locks the First Name, Last Name, and Date of Birth fields for members and any linked family members once they’ve been initially entered
- If a player does not have a Date of Birth on file, they can still add it — but once it’s saved, it becomes locked and cannot be changed
- Restriction applies to Personal Information page and the Edit Family Member option under My Family
- Locked fields appear in gray with a tooltip explaining that the information cannot be changed
This setting helps clubs maintain consistent, trustworthy member data and prevents players from altering details to bypass age restrictions, membership eligibility, or other system rules.

Audit Log: Event restrictions tracking
The Event Audit Log now provides even greater visibility into your event management activity by tracking all changes related to event registration restrictions.
This ensures admins see exactly when and by whom restrictions were added, edited, or removed — improving transparency and accountability across every event update.
How it works
- Tracks creation, edits, and removal of event restrictions
- Logs updates to rating, gender, and age restrictions each time an event is modified
- Provides a detailed activity trail for accurate, auditable record-keeping
With this update, clubs can maintain a clearer history of event changes — helping admins resolve questions faster, prevent confusion, and ensure all restriction updates are properly documented.

Reservation cancellations & event withdrawals: Define when members can make changes
With this update, clubs can now decide exactly if and when cancellations and withdrawals are permitted — keeping booking activity aligned with club policies.
How it works
- Allow Members to Cancel Reservation: Decides if members can cancel their own bookings.
- Allow Members to Withdraw from Event: Mirrors the same functionality, defining when players can withdraw from events.
- When these settings are turned on, clubs can still apply time-based limits — for example, preventing cancellations or withdrawals within 24 hours of the start time.
Together, these settings help clubs reduce last-minute changes, maintain organized schedules, and give members a clear understanding of when cancellations are allowed.
