(00:00) hello everyone happy Friday it’s Ashley and Josh uh from Court Reserve we’re super excited to spend some time with you today and talk about packages and Punch Cards virtual Punch Cards and I’m really happy you’re here because we’ve made such a great Improvement on our packages uh part of Court Reserve because now members can actually purchase those packages on the player member side which makes your life easier as an admin and so Josh is going to take us through everything today this will be recorded we’re going to put it in the
(00:30) court Reserve YouTube channel so give us a little bit of time after this and then you can go out if you are not subscribed to the YouTube channel it really just helps you know when we put up new videos so that you can watch them in your own time uh we are planning our next Catalyst user conference I believe it’s going to be in December of this year uh we’re still working on it I know Josh is excited to teach and spend time with you guys so be on the lookout for that and then if you have questions today uh Josh
(00:58) is going to go through we’re going to answer questions at the end because I feel like this will be a pretty quick webinar um so make sure you put your questions in the Q&A and we will answer those at the end so Josh happy Friday thanks for joining us of course let me get started I can share my screen here all right great so hello everybody uh today we will be going over packages and just everything about packages in the system I know some of you may be familiar with packages and are are using them some of you may be familiar with
(01:33) the with the feature but aren’t using it in your organization yet so let’s kind of go back to the basics here and go over what are packages packages are virtual Punch Cards that members can use to pay for reservations lessons or events and when you are creating packages in the system you as an organization will be able to decide which reservation types which lesson types and which event categor this package is eligible to be used for some of the main benefits for using packages is from an organization point of you you
(02:08) can really cut down on the transaction fees that you are paying your payment provider so if I’m a member and I’m not using packages and I book five reservations there is that percentage plus that 30 cents for each transaction that is processed if I’m not using packages we are paying that 30 cents for each reservation that that member is booking but if I’m using a package we are only paying that 30 cents for the package itself and then from there the member is going to be using that virtual punch card and using those punches to
(02:44) pay for those reservations so they are a great way for you organizations to sort of cut down on those transaction fees that you need to pay packages will be an additional feature that we have so to get started here we will need to enable this feature so we can get started by going to settings on the sidebar if we scroll down to the bottom row here we’re going to have the additional features or the add-on row and then we’re going to have the additional features page right now my account is under the new pricing
(03:17) structure that we have so this page may look a little bit different on your end but regardless we’re going to navigate to this page to enable the packages feature once we have that enabled to actually start creating packages in the system we’ll want to go to settings on the sidebar and we’ll want to scroll down to the billing settings row and here we are going to have the package categories and also the packages page package G categories are really just a way that we can group specific packages that we have in our organization so if I
(03:52) am going to create a group of packages that are just for lessons or just for events or maybe I have some mixed packages that have a little bit of everything we can create these different categories here create a name for them and then once it comes to package reporting we’ll be able to easily filter by these different categories that we have but once we have the category set up we can go back to the settings page and under billing settings we can then go to the packages page to get started so like I said at the beginning
(04:28) when we are Crea creating a package we are going to be able to choose which reservation types lesson types and event categories that package is eligible to be used for so we can create packages that are just for private lessons just for open Play We can create a beginner Essentials package that has a little bit of everything in it we’ll be able to really customize what members are going to be using each package for in the system so let me go to the create page here and we can get started first we’ll be creating the name
(05:04) and the price for that package and then we can choose a or we can type out a package description if we choose to sell packages on the member portal members will be able to see this description here so if you just want to give alittle bit more information on what this package can be used for we can always add that description here and then we can allow package to be used while unpaid so if we want to give members the ability to start using these punches before they even pay for the package we can enable this setting here and I will
(05:36) point out that if we are selling packages on the member portal and we are not allowing packages to be used while unpaid that will require the member to go through The Upfront payment process and they will need to pay for that package in 15 minutes or that package will be deleted from their account and they would have to go through the purchase process again from here if we are using package categories we can choose a category for this specific package and if we are using tax rates or Revenue categories we can also include those here when we are
(06:11) creating or editing a package so next we are going to optionally be able to decide if this package does have a start date or an end date here so if we want to maybe have a package that’s only eligible for 2024 we can choose a start date here and say you know I don’t want members to start using this package until a specific date and if we are going to add an expiration date we have two different options here so we can expire on a specific date again if we’re doing that 2024 package we can have it expire on December
(06:52) 31st or we can use a dynamic expiration date so we can say after one month we want this package to no longer be active on this member’s account um it’s really just going to depend on the way that you would like to set up this package but just know that you do have both of those options there then we can choose the total amount of punches that this package is going to have here we can choose if the package is going to be active in the system or not and then we can choose if this package is going to be eligible to be sold on
(07:25) the portal SLA so once we have one package that is eligible to be sold on the portal SLA there will be a new purchase package button that shows on the package page on the member portal and once we go over this setup I I will show you what that looks like from the members end once we allow this package to be sold on the member portal we can choose a purchase start date and end date very similar to the setup that we have for memberships so this is not going to impact when the package is actually active in the system here we are
(08:01) choosing the date range that this package is going to be visible on the member portal for the member to see as an option so if we are doing a package that’s only eligible in 2024 maybe we want to stop showing this to members at the end or the beginning of November since you know there’s not too much time before the end of the year or maybe we want to set up a package beforehand in the system but we don’t really want it to show to members until say September 1st we’ll be able to use these date Pickers here to sort of
(08:36) decide when this is actually visible for members to purchase on the member portal we can also choose which memberships this package is going to show to on the member portal so maybe we have a premium package for our premium membership that has a little bit of a discounted price and we don’t want the guests or the individual membership members to see it we can choose which memberships are going to be able to see this specific package on the member portal then we have the public package URL so this is a URL that you can send
(09:12) out externally in marketing emails or on social media if you are trying to guide users to a specific package so if you have a new series of clinics or events at your organization in your creating a package for that specific series if you send out a marketing email about that new series that you have you can also include this public package URL and sort of incentivize members to purchase this package for when those clinics start from there we can also choose if this package is going to be eligible to assign by family so if this is unchecked
(09:51) only one member or one family member will be able to use this package if we check this setting multiple members in my family or all family members would be able to use this package here and again once we go over to the member portal side I’ll kind of show you what this will look like from the members end from there we can start choosing what this package is going to be eligible to be used for so we can choose from court time or reservation types we can choose from lesson types and we can choose from event categories
(10:27) when we are choosing Court time we’ll be able to choose from our reservation types we’ll be able to choose from our durations and we’ll be able to choose a punch value something that is important to note here is with this current setup that I have right now where I’m only having an eligible duration of 60 minutes if a member books a 30 minute reservation or a 90minut reservation this package will not be eligible to beused on that reservation so if we want to make this package eligible for multiple durations here we’ll want to
(11:03) make sure that we include each duration and that way we can also choose the different punch values that may come with different durations that we have with the lessons we will also have an instructor field here so we can even choose which instructor’s lessons are or or not eligible to have package used on them and we’ll be able to choose from all of our lesson types we’ll be able to choose different durations um and those duration rules will apply here as well so if you have different durations for your lesson types that members can
(11:40) choose from we’ll want to make sure we have all of those durations set up as eligible lesson types for event categories we are not going to have that duration field here so it’s just going to say if I register for an an adult Clinic it’s going to be x amount of punches and we’ll also have that instructor field here as well so we can pick and choose which instructors clinics are or are not eligible for this package to be used that goes over the setup for packages so let’s go back here and once we have those packages
(12:17) created in the system I will now start going over how members can purchase packages or how we can sell packages to members so I’ll start off on the member portal here this is a newer update that we had released this year where members can now purchase packages directly from the member portal if I go over to the member portal and we go over to our menu under our name we go to billing and we go to packages this is going to be where members could already manage the packages that are on their account from here they can click the name of the
(12:58) package and they will get this window where they can take a look at the usage for their package they can see all of the eligible items for the specific package and they can also see how many punches they’ve used how many they have remaining but if we have even one package that’s eligible to be sold on the member portal members will also see this purchase package button right here this will bring us over to the available packages page where we can take a look at any package that my account would be eligible to purchase from the member
(13:34) portal um something that I will point out here is if you are really trying to push packages at your organization and you want to make this page really accessible to your members it may be a good idea to take the URL from this specific page and if you copy that URL and you make a header on your m portal for this page here you can have that header link that just goes directly to this available packages page so that way it’s it’s really easy for your members to to find that page and purchase packages but when we’re on this page
(14:08) we’re going to be able to see the start date and the end dates for any packages if we have them set up we’ll be able to see a preview of the description that we have for each package and then we also have this learn more window here we’ll be able to see all of the eligible items for this package and we will be able to see that full description for this package if we click select package from this window or we click the purchase package button that is going to bring us to the review package page this is going
(14:42) to be very similar to The View that members would see if they are clicking a public package URL so if you are using that public package URL in a marketing email or anything like that the the page that members are going to first see is going to look very similar to this page so from here I’ll sort of point out a few differences that members may see on the review package page here we can see that this package is not eligible to be sold by family so when I have this drop down here I’m only going to be able to pick one
(15:20) member if we go back to the available packages page and we see that there is a package that has Family Sharing available when I go to the purchase package page we’re going to have that drop down but we’re going to be able to select multiple family members or by default we can of course have it set so all family members can use this package on this page if we are requiring upfront payment we will also get a little notice down here saying that the member has 15 minutes to pay for that package and once we go to the purchase
(15:53) package button oh let me select a player here once we click purchase package that would be when that 15minute time window starts for members if they selected the wrong package and they need to delete it from their account before paying for it we also have this delete button right here so that goes over purchasing packages on the member portal um I will also go over how we can sell packages from the admin side and also how we can manage packages that are on members accounts so let me go back to the admin side and go to my account really
(16:32) quick so when we are on a member’s account we can take a look at the packages that are on their account bygoing to billing and then going to the packages page here we will be able to take a look at any packages that are on this member’s account or that are in this family’s account we’ll be able to see if that package has been paid for and if we go to the punches colum we can also click on this section right here and we can take a look at how many punches have been used or how many are remaining we can also manually deduct
(17:10) punches if we need to from this page so if we need to just take a punch off for any reason we can take that punch off leave a little note here that’s what this section is right here I manually deducted that punch and if we need to delete that deduction we can also do that as well if we want to sell a package to a member from the admin side we’re going to have the sell package button here and when we click on that we’ll have a drop down for the different packages in our organization and if we are eligible to sell it by family you know we can choose
(17:48) the family assignment type we we can choose multiple or all family members or we can assign it just to an individual here if we need to take a look at the punch usage that a member has on their account we can go over to the transactions Tab and here we are going to have a punch usage tab so we can take a look at any fees that have been paid for with a punch from a package we’ll also be able to see that payment with the punch here as well and if we need to refund a punch we can also do that when we click the refund button
(18:27) we’ll be able to choose just package as the refund destination and we will be able to sort of pick and choose how many punches we want to refund back to that member’s account so with selling packages on the member portal and the admin panel um another update that we had a little bit earlier this year was we did give a way for organizations to mass update packages that are in their organization so let me go back to settings on the sidebar scroll down to the billing settings row and go to the packages page and I’ll kind of go over an instance
(19:07) where you may need to mass update a package so say that we already have a package created in the system and it’s very commonly used by members we already have multiple members that have purchased this package package but we are now looking to introduce a new series of events in our organization and with that new series of events we are also creating a new event category in the system but when we created this package we did not have that event category created yet so for right now that package does not have eligibility
(19:41) for that specific event category if we go to the edit page for a package and we have this package sold to even one or more members here whenever we look and we edit this package in any way we’re going to be able to see the number of active packages that are out for this specific package type and we’ll be able to see all of the changes that we have made to this package so far and if we would like to mass update those packages that are already sold we can update these sold packages here if we don’t don’t update sole packages these
(20:22) edits that we are making are only going to take place for packages that are purchased or sold to members after we click this save button um so we knew that was an issue that some people were having where they were introducing new event categories or new reservation types or lesson types so now with this feature you will be able to make any changes that you need to to packages and also update those packages that are already sold two members so the last thing that I want to go over today before we start going over
(20:57) some questions that we have is the packages report if we go over to reports on the sidebar all the way on the bottom of this page we are going to have the packages option and when we are on this report we’ll be able to filter by the purchased on start date in the purchase on end date we’ll be able to filter by those different package categories if we are using them we’ll be able to filter by Revenue category and we can also filter by sales status so if we want to take a look at expired packages in an organization or just active packages
(21:34) we’ll be able to filter there if we want to take a look at maybe just the packages that are currently unpaid in the system we can filter by payment status as well we can also filter by specific packages that we have in the system and we can also o filter packages by how many punches are remaining on that specific package that shows up on this report so once we run that report there based on the filters that we are using we will be able to see all of the sold or purchased packages that are under those filters that we have set
(22:10) up all right great so that kind of goes over all of the new updates that we have added to packages since it’s initial release um if anybody has any questions I will be happy to answer some of those Ashley do we have any questions in the Q&A we do right now we cannot set up apackage that is determinant upon prime time and non-prime time slots correct correct yeah right now we do not have a way to differ that in the eligible table yeah the only way I can think that you could set that up is if you had different reservation times uh in Prime
(22:45) Time versus is non-prime time that way you could sell the package you know for two hours during Prime times and or you know 60 Minutes during non-prime time that that would be the only way I can think of right now Keith that you could set that up but I like the idea it’s definitely something Josh can take back to the product team for sure so the next question is where customers are not restricted for the amount of Courts they can book the same amount of court time punches so you can definitely restrict the number
(23:17) of times you know per day or per week that people can make cour bookings but it’s not going to align exactly with your court time punches um I’m not really sure Keith I’ll take that back to the team but I don’t think that that is necessarily an issue right now unless you can give me a little more on that one um let me go to the next tab um the recording will be on the court Reserve YouTube channel later this afternoon so give us a couple of hours and Josh can put it up on the court Reserve YouTube channel and you
(23:54) guys can watch this again so uh we do have a great question and I think Josh this would be really helpful for all people uh Keith asked if you could show them again how you create the drop down on the header for just like for members just to buy a package because it is kind of hidden back there on the billing tab yeah so let me let me go back to the member portal here really quick and I’ll kind of just walk you through exactly how we would grab that URL and make it a header so if I’m on the member portal I want to go over to the menu under my
(24:25) name and then I want to go over to billing and then the packages page from here after we click purchase package we will be on that URL that we want to put on our header so we can grab the URL from here we can copy that I’ll copy that really quick and then as a admin when we have over our name in this menu we can quickly navigate to the website settings so we’ll want to go to the website settings page under portal settings after we have that URL from here we can go to the menu tab and this is going to be where we can
(25:04) create those headers so if I create a header link and I paste that URL and maybe I Nam that header available packages from here we can choose who’s going to be be able to see this header so if we only wanted to show this to logged in users we can only have this show on the logged in version of your member portal and then we can click save so from there we now have this package header created so if I go back to the member portal I now have this available packages option right here and when I click on that it’s going
(25:44) to take me directly to this page where I can see all of the packages that are currently offered at organization all right great were there any other questions yeah let’s see um somebody wonders like approximately how many punch cards or packages would be helpful for a 24hour court H so if you have a I guess a staffas facility 24-hour Court I guess you would have to David you know really think about the the pricing a lot of times people offer packages you know as an a value prop for members right so buy 10 cour hours you know and and pay for
(26:28) nine right you get one qu hour for free um Josh do you have any other examples yeah I think that’s that’s a good way of putting it so I think really um the main things that you would want to be sort of deciding there when you’re creating a package is how many punches you want to put as the total amount and then the price of the package itself and then also you know what the punch values are going to be for each registration um and and that way you can sort of see you know if if I’m going to create a package that has 10 punches and
(27:07) each reservation is one punch you know roughly how much would 10 reservations be at my organization and then you know if you want to a slight discount there to sort of incentivize members to use the packages um you know you can discount a little bit from there if needed yeah I like that answer I mean you really have to come down to you know what’s your what’s your minimum Court pricing you know and what do you need to get out of that for sure so all right here’s another question um well two more questions um
(27:39) Can a package have a member and a non-member price so there you would want to create different packages for those instances so if we go back to the edit page for a package and you know we want to have one price for the members we can create a member package and then again when we are allowing this package to be eligible to be sold on the portal SL app we can say you know I don’t want my guests or my non-members to see this option I only want the paid membership members to seethis option here and then you can create
(28:12) a new non-member package that has that non member pricing and then for that one we can say you know I only want the guests or the non-members to see that option yeah that’s a great question uh we got another question do punches abide by the existing refund policy for example if they cancel 24 hours in advance they get their punch back but if less than 24 hours the punch is non-refundable yes so let me go to the auto refunding page so under settings on the sidebar if we go down to the billing settings row when we go to auto
(28:48) refunding if we are using packages in an organization we are going to have punches as a payment type option under this refund destination table so we can say you know if we want packages to sort of go under these Auto refund criteria here we can say if a member cancels and it’s further out than 24 hours and they paid with a package we wanted to Auto approve that refund and put that punch back on the package for the member that’s awesome that’s great um so we have two different questions uh but I think they’re almost the same so Brian
(29:29) ask can you show us what it looks like when a member uses the punch when they are reserving Court time and then David said would the customer still be able to book specific time for the court or they can they just come in at any time so dve they would definitely have to make that reservation and use that applicable punch for that reservation and so Josh if you can walk us through on the player side when a member actually books or uses a punch what that looks like I think that’ll answer both questions yeah so let me go to the member portal here
(30:03) and I’ll go over to my courts and let’s book a reservation here so if I pick singles and I make it 1 hour here I believe this should fit the criteria that I have so when I go over to pay for this reservation if I have a package that’s eligible to be used once I go to the payment screen for that reservation or that lesson or that event by default we’re going to have pay by package as the option here and if I have multiple packages that are eligible to be used here I can choose which package I want to use to pay for this reservation and
(30:55) if there’s any reason why I don’t want to use my package you know I can also still pay by credit card but by default it’s going to choose the pay by package option here and then I’ll just need to click pay and then that package will be used it looks so easy right I love it I love it all right so we have another question if the m uses a certain amount of punches and then wants a refund for the remaining punches is this possible well I can tell you from like an old Coast pickle ball standpoint if you guys don’t know Tim and I did
(31:28) open up an indoor pickle ball facility and I I don’t know how I would deal with that may so that’s actually a good question and maybe some others can you know give their business input Josh from a court Reserve standpoint what does that look like yeah so uh I’ll try to like create a a example here that may be a little easy to follow so if I have a package that I sell to a member and it has 10 punches and the member has used five of those punches but then they want a refund to their credit card for the last remaining five punches what I would
(32:00) recommend doing there is going to the actual fee for the package itself so like here I have this package and here I would refund the payment from this package fee so you know if I use half of the punches here and the member wants a refund for the last five punches to their credit card we can just do half of the paid amount here and refund it to the member’s credit card I would make sure if you are refunding to the credit card and you don’t want this package to be usable by the member after that point we would also need to go to the packages
(32:39) page and we would want to delete that package from the members account so that they can’t still use those five punches that are left and once we delete it it won’t be completely gone from the system it’ll just go to the used or the expired tab awesome that’s great thank you so much for showing us that uh let’s see we have another question from David is Court Reserve Focus solely on pickle ball or could I use it for badminton as well oh Court Reserve is fully uh capable to do all Racket and paddle Sports we actually have a number of bad
(33:13) mitton clubs that use Court reserve and all they have is bad mitt um and so David I would just reach out to live chat we can help show you how to set up additional courts in your court Reserve or if you have a separate business you know help you show we do have some Enterprise features now if you have multiple businesses that we can help you as well so um we love all Racket and paddle sports right Josh yes we do are there any final questions um that we can answer for you today um I think that in the beginning uh we created
(33:41) packages and now it’s like packages is like you know 110% I think it’s a fullcircle I’m so glad that that admins and now can put the packages out there for the members to actually purchase and it really does keep up and help you guys make more money by reducing your um you know credit card transaction fees for sure uh last question usually packages oh we got two last questions usually packages are offered to give a discount but what if they want to refund for the remainder of punches can I convert the fees of
(34:13) package and charge regular rates oh so you’re saying that if you offer a package then you’re usually giving them a discount well may what you can do is what Josh just showed us you can choose what to refund them back so if they come to you and say hey they spent $100 and they actually got you know one for free then you would just have to do the math on your end and say okay you’re not getting your one for free anymore um I’m going to give you back $70 instead of $50 or or backwards right you just have to figure out what
(34:47) that math looks like so that you could um make sure that your business is covered as well um right let’s see Don ask is there a way to create a package for unlimited monthly play unlimited monthly P play um you could do you could do 31 I guess you could do it by day if you want them to be able to do one per day you could do 31 and then have it expire at the end of each month yeah yeah that is one way um I I know we are discussing and I don’t want to give too many details here but we are discussing like the ability to apply packages to
(35:30) specific memberships you know on a monthly basis or a weekly basis um so I think maybe after we have these other updates added to packages you would be able to very quickly Implement that for your memberships um you could also you know if you are trying to give one uh free reservation a week or a month we do also have the discounts page um it may just depend on exactly what you are wanting to achieve there so it may be best to reach out to support there and they can take a look at your setup and see the best way or the closest way that we
(36:09) could achieve that yeah can you show them where the discounts page is because I think that’s probably a better option is if you go to settings and then um show them where that discounts page is because Don if you do want to allow them just to have a booking every day it could be included in their membership and then you could just allow one no charge booking per day and not have to sell them a package necessarily um right yeah under booking settings we have that discounts page and under this tab you’re going to
(36:38) be able to choose from reservations events or you can say you know we’re going to give you two free reservations or events and you can use it on on either um so yeah you’ll be able to set this up by day by week and by month by membership type so that that may be a better option for you yep for sure and then uh last question can you link a package to a membership well may when Josh in the beginning uh started showing you how to create the actual packages you can link certain memberships to certain packages so you can absolutely
(37:13) do that so yeah yeah so you can you can choose which memberships are going to be able to even see that package as an option from the member portal um and if you are looking to maybe have it auto apply on a monthly basis to a membership we don’t have that right now but that that is something that that we are discussing as a product team um to see if that’s an option for the future okay we’ll give us a couple hours we’ll put this recording up on the court Reserve YouTube channel thank you so much for joining don’t forget we have a

(00:37) not subscribed to the court Reserve YouTube channel it’s a must that way when we do webinars when we do new things then we know that you guys can get updated and and be alerted to when we’re doing things uh so without further Ado Chloe let’s get started thanks Ashley for the introduction and thank you everyone for joining us today just going to pull up my screen and we will jump right into it all right so first things first we should Define what is an event right so an event is going to be something that you want people to sign
(01:10) up for so this can be really flexible you can set up a bunch of different things as an events but the characterizing thing of an event is that it’s something that people sign up for so if you want to block off your courts for a certain amount of time each day and have people sign up to be on them that would go into the system as an event so things that usually are set up as events are going to be Round Rob if you do any open plays maybe you have a summer camp maybe you even do a special event um once a month or every
(01:37) year or something like that it’s really flexible for what you can set up as events but main thing to keep in mind is it’s something that people can register for and then you’ll have a roster of people who have signed up for that event so the first thing to cover with events is just going to be your event settings row this teal row of settings about halfway down the page so I’m just going to start off here with your event categories this is just where you specify what kind of events you offer at your facility so do you have Ron Robbins
(02:06) do you have mixers do you have open plays maybe you even have open plays that are split up based off of different rating you could add those all into the system as different event categories this can be things like a clinic or a larger group lesson super flexible for whatever you want to add in here it’s just a way for you to kind of categorize your events in a way that makes sense to you on the admin side but also for your members as they’re signing up for those so all you need to do to add in your event categories is just go to create
(02:33) event category here and then you’re going to name that so that could be you know round robin that could be open Play morning open Play afternoon open Play evening open Play anything like that and then you can also choose the colors the colors here are actually super helpful because some of your members might get really used to signing up for your open plays maybe they love your open plays and they know that your open plays are green so then when they’re on the member side looking at the calendar they’re just going to go right to those green
(02:58) events so color coding your event categories is also a really helpful trick if your category if your event categories are going to go into certain Revenue categories if you process payments in the court Reserve System you can choose the revenue categories here and you can also specify if there’s going to be taxes for your event categories so next under the event settings row I’m actually going to skip over defaults and we’ll revisit that at the end um we’re going to skip over here to disclosures disclosures are a way for
(03:27) you to display some text or information to your members as they’re signing up for the event so maybe you want to remind them to get their 15 minutes early or maybe you want to remind them to bring all of the gear that they’re going to need if you want to display a chunk of text to your members and then have a check box that they check on to say that they’ve read it that could go into the system as a disclosure you can enter in that information here under the disclosures page and when you’re going in and actually creating an event I’ll
(03:53) show you where where you can actually attach that disclosure to your event all all right and then the next thing underneath our event settings row are waivers and agreements this is only going to show up if you do use that waivers and agreements add-on so if you don’t see this in your organization it’s just because you don’t have that add-on turned on but waivers and agreements this is a way for you to actually attach a waiver so something that people have to sign onto your event so similar to a disclosure but the waivers is something
(04:22) that people will actually sign when you’re creating a waiver or agreement for your events you do not want to set up a signing rule for those becausebecause if there’s a signing rule then you’re not going to be able to attach it to your event so if you have for example maybe you have a summer camp with kids and you need the parents assign a waiver for their kids to be in that camp you would add that in under waivers and agreements but don’t add a signing rule to that and again I’ll show you where you can actually add those into your
(04:45) events once we get to the event setup all right and then next under event settings is going to be your custom Fields custom fields are a way for you to add some additional information that you want your members to provide when they’re signing up for the event so for example maybe you have an event where you’re going to give people a t-shirt if they participate a custom field that you might add on for the event would be please provide your T-shirt size or something like that you would create the custom field here and then at the event
(05:14) setup level you can choose whichever custom Fields you want to attach to your certain events next we have event sessions this is just a way for you to kind of further categorize your events for reporting purposes so maybe you want to run reports on all of your events um and see which events fell into certain times of the year or maybe you want to see you know which events have the most participation based on time of the year then your event sessions might be the seasons you could also have different sessions for things like your open plays
(05:48) maybe you have different sessions based on rating or summer camps maybe you have different sessions based on age it’s uh event sessions are optional but they are just a way way for you to kind of further categorize your events if you’re interested in doing so and then lastly we have event tags tags are basically a way for you to Market your events these tags are going to show up on the member side whenever someone is looking to register for an event they’ll see um this little tag show up under the event name so it’s
(06:17) just a way for you to kind of mention some key wordss relating to the events just to kind of grab people’s attention and get them interested in those events so examples of what you might have in here as event Test maybe you have certain events that are geared towards beginners or intermediate players or Advanced players maybe you have a summer camp and you want to advertise that that’s for kids those are just some examples of what you might use as event tags all right so next is going to be how to actually go into the system and
(06:45) create an event so this is going to be underneath events on the left sidebar and then create event here first things first is going to be to name your event so this is just what the event is for and you’re going to want to make this pretty specific so that members know what it is that they’re signing up for so maybe for example you have a summer camp and it’s just going to be for a ages 8 to 10 then you would call this you know summer camp Session One ages 8 to 10 something like that just something so that your members
(07:15) understand what it is that they’re signing up for um in the event name next is the event category this is where you say which category that event falls into tags this is where you would attach those tags that we just talked about if you want to further advertise the event and have any of those tags show up and same thing with session if this event falls into a specific session that youve specified you can choose whichever one that is here underneath maximum registrant if you have events that are going to be capped at a certain number of people so
(07:46) maybe you only have space for eight people in an event then you can specify that here and once the event reaches eight registrants no one else is going to be able to sign up if you specify a maximum number of registrants this is going to give you the ability to allow a wait list if you wanted to so if the event is full and you allow a wait list now people can start signing up for the wait list and if a spot were to open up in the event so if someone if one of the registrants in the events cancelled out then everyone who has registered onto
(08:16) the wait list they would get an email letting them know that a spot has opened up that email will include a link where they can just go right to that event and claim their spot it’s going to be first come first serve if you just choose allow wait list now if you chose this option Auto register from weit list this means that if a spot opens up in the event whoever was registered onto the weit list first is automatically going to be bumped into the event and the spot is going to be theirs so turning on auto register from weight list this takes
(08:44) into account the order of the weit list versus having this off it’s going to be first come first serve whoever on the wait list gets there first gets the spot with auto register from weight list turned on we have a couple additional settings here so prevent Auto autoregistration X hours before event this is where you say how far before the event you want people to no longer be Auto registered so a best practice piece of advice here would be to set this to something like 12 or 24 hours so that people are not being automatically
(09:12) bumped into the event really close to the event start time because maybe people didn’t knew that they were still on the wait list so they didn’t plan on actually being at the event so if they’re getting bumped in last minute maybe they’re not going to be there right so usually we would see this set to something like 12 hours 24 hours maybe even more than that just to give people enough time to plan and know hey now I’m in this event I can kind of move my schedule around and be there this choice autocharge if payment
(09:37) profile exists this will charge the player as they get bumped into the event as long as they have a payment profile on their account and then allow family members to be individually registered if you don’t turn this on and a spot opens up in the event and two members of the same family are on the wait list it’s actually going to skip over the first person in the family who’s on the wait list because there’s not room for both of them so if you want both family members to be able to be Auto registered into the event then you want to leave
(10:07) this setting unchecked if you don’t care about that and it doesn’t bother you if one family member is going to get in off the wait list and one family member is not then you can turn this setting on so just to go back up here a little bit um override hours of operation if your event is set to happen during a time when your organization normally isn’t open so maybe you have an open play that um happens really early in the morning or really late at night you can override your hours of operation so that you can choose the start and end time um
(10:36) in these categories here obviously event date start and end time that is when the event is happening underneath recurrence this is a really helpful setting if you have a situation where you have an event that has multiple event dates instead of having to create an individual event for every time the event is going to happen we can just set up the event to reoccur and you can set this to reoccur daily weekly monthly or at a custom frequency and when you set that recurrence you can say Okay I want this to happen every
(11:06) week on these specific days of the week and then you’ll tell the system how many times you want that to happen so end event after X number of dates or if there’s a specific calendar date that you want the recurrence to stop by you could specify that here but this is really just going to create the event on each of those dates that you’ve set this up to reoccur going to make your life a lot easier on the admin side of your as you’re setting this up so that you don’t have to create individual events on every single time that the event is
(11:33) supposed to happen exception dates for example if you have a recurring event and one of the event recurrences is set to happen on a holiday and your organization is closed on that day you can choose that day underneath the exception dates and the event will just skip right over that day it won’t happen on that date so next we have allow registrants to register for single dat dates this is if your event has more than one date do you want people to be able to go in and pick and choose whichever event dates they want to sign up for this setting
(12:04) allow registrants to register for All Dates if you turn that on it’s going to give them the option to register for the entire event at one time so maybe you have an event that has 10 different dates if you turn this option on your members are going to be able to choose register for full event and that will automatically sign them up for all 10 dates so that they don’t have to go in and and registered 10 times into the event allow weight list to be already covered event instructors if you’re going to have one of your instructors or
(12:33) Pros or coaches be teaching a specific event you can add them to the event here and then that’s actually going to block off the instructor scheduler and it’s the system is going to know that they’re already booked on this event so they won’t be able to be added to any lessons during that time and if you want to show the name of the instructor who’s assigned to the event we would just turn this on display instructors on the member portal coordinators if you use event coordinators at your facility coordinator coordinators are just a
(13:02) version of sub admin who are going to have specific permissions into certain events then you can add them in here and then they’ll have their set of permissions um for this specific event where they are the coordinator Court types and courts the system is actually going to let you create out an event without filling out this information but if you know which court your event is going to be happening on it’s really important thatyou choose them here and that you assign them to this event because if you don’t
(13:26) then the system isn’t going to know to block off any of your courts and someone might make a reservation or they might schedule a lesson on the court during the time when the event is supposed to happen if you assign the courts when you’re creating the event then the system will know to block off those courts so that nobody else can book them during that time same thing with the ball machine if you have a ball machine or resource that you want to schedule with the event you could add it here prevent member from withdrawing
(13:54) from event within this amount of time this is just going to say how far before the event starts are people allowed to withdraw or cancel out of the event um best practice that I might see here would be at least more than an hour um just because from an instructor standpoint you kind of don’t want people withdrawing last minute um especially if you know the instructor is going to be planning out drills or something like that based on a certain number of people you just don’t want kind of last minute changes to the event so I would see at
(14:24) least an hour here at the end of the day it is up to you and your organization that’s just something that I see a lot if you have a specific note that you want to communicate on the admin side you can add that in here and then this is where we would add in those custom fields that we talked about towards the beginning of the presentation if you have any custom fields that you want to attach to the event so say this is the event where you’re giving out a T-shirt and you want people to specify their T-shirt size then you would choose that
(14:50) event registr custom field here and then when members are signing up for the event they would be prompted to fill out that information before they’re able to register down here at the bottom we have the event setup tab as you can see this is all split up based off of the membership types that you have in your system so if you have events that are going to be only available to certain membership types or maybe you charge certain membership types more to register for an event than you do your others then that’s all possible because
(15:20) all of these settings are split up based off of membership type so first we have drop in price drop in price is going to be the price for one single event date so if you have a recurring event drop in price is what is the price for just one of those event dates and then full event price is if someone is registering for all of the dates at once if they’re using that full event registration option this would be the price for the entire event another best practice recommendation here a lot of organizations might provide a little
(15:47) bit of a discount if people are registering for the full event just to kind of promote the event and get more people to sign up for all of the dates so something that we sometimes see organizations doing is providing a little bit of a discount um a discounted price versus the sum of just all of the dropin prices is public means that your members are going to be able to see that event from the member side allow online registrations means they’re actually going to be able to sign up for that on the member side so sometimes what
(16:18) organizations will do is they will make the events public but if they’re not ready for people to sign up for the event yet then they might not turn on allow online registrations until closer to the event hide pricing if you don’t want to show the price of your event for whatever reason on the member portal you can turn on hide pricing and members will not see how much that event is going to be if you process payments on the court Reserve side then you’re going to have these two options for require upfront payment if you turn this on that’s going
(16:48) to give members a 15minute window of time where they have to sign up for the event and then enter in their payment information if they don’t pay for the event within that 15minute window of time their registration is going to be cancelled so this just requires that people essentially are paying for the event as they’re signing up for it require payment profile means that they have to have a credit card saved onto their account in order for them to even sign up for the event requires approval if someone signs
(17:15) up for an event that requires approval you’ll see a little red dot next to the to-do tab here and you’ll be able to click on this and see all of event registrations that have requested approval and you can go in on the admin side and either approve or decline those people so an example of when you might use requires approval is maybe you have an event where they had to have participated in something else before they’re able to participate in that event so maybe they needed to have taken a beginner’s Clinic before they’re able
(17:44) to sign up for this event that you’re creating that might be an example of asituation where you would require approval you can check their account make sure that they’ve already participated in that thing and decide if they are going to be eligible to participate in this event or not drop in registration starts maybe you’re being really proactive and you’re creating your events way far into the future but you don’t want people to sign up for them just yet you can open up registration for the events based on the
(18:08) event start time so maybe you want to open up registration one month before the event starts um or you can choose a specific calendar date when you want all of those events to open up for registration and then same thing drop in registration and full registration this is just drop in registration when people can start signing up for single event dates full registration is the same thing just when can people start signing up for the entire event and then we have registration ends before event so maybe you want to lock
(18:36) down the roster of people who have signed up for an event a certain amount of time before it starts again just to give your instructors time to plan ahead um registration ends before event this is where you would enter in how far in advance do you want people to be able to sign up and then what’s the window of time before the event starts that people can no longer sign up that’s the number that you would fill out here and then lastly we have show registrants this option is going to show the names of people who have already
(19:02) signed up for the event on the member portal as other members are looking at the event so a lot of times organizations will turn on show registrants for something like an open play so maybe people want to see who else has signed up so they can determine okay my buddies are already signed up I’m going to sign up as well last thing I want to point out on on this specific screen is going to be this option all the way down at the bottom for public embed codes and widgets this is what your members are going to see if you are sending them a
(19:30) link to this specific event or if you’re using any of our widgets our event list widget event calendar widget um this is what determines what members who are viewing the event from those places are going to see so if a member is looking at one of your event widgets this is determining is that event public from the event widget are people allowed to sign up for it what’s the price that they see from there um and so on and so forth so this this setting can be a little confusing to people it’s only relevant if you’re going to be using
(19:58) event Widgets or if you’re going to be sending anyone an ed code of an event that’s already created so next under the description tab this is pretty straightforward this is just where you would explain some of the details of an event you might say um what’s planned at that specific event just some more information for your members so they have a better understanding of what it is that they’re signing up for underneath registration restrictions this is where we can set up if you want an event to have certain criteria in
(20:27) order for people to sign up for it so for example maybe you want to have a ladies only open Play you could set this up to be gender restricted for females only and then um anyone who’s trying to sign up who does not match this restriction they wouldn’t be able to sign up for the event and the same thing goes for any of these other restrictions you can restrict based off of age rating and member groups so maybe you have a summer camp again like I uh mentioned at the beginning of all of these settings maybe you’re setting up a summer camp
(20:56) that’s only for children ages 8 to 10 you could set a minimum age restriction of eight and a max age of 10 and anyone who falls outside of that age range would not be able to sign up this option up here Hide event if member does not match restrictions if you turn that on then any events that people don’t match the restrictions for they’re not even going to be able to see them so this kind of helps avoid confusion maybe if you don’t have this on someone might be clicking on an event and being confused why they can’t sign up and it’s just cuz
(21:24) they don’t meet their restrictions if you want to avoid that confusion and just not even show the events that people aren’t eligible for then you can turn the setting on so underneath the waivers tab this goes back to what we covered at the beginning if you set up an event waiver um underneath the event settings row then you’re going to be able to choose that waiver here and assign a specific waiver to your certain event this is really popular again for something like a summer camp um where the parents have to sign the waiver for their kids to
(21:51) able to participate in this underneath guest setup if you turn on allow guests here that’s going to bring up these other settings where you can say how many guests are allowed for each event date as well as which membership types you want to be able tobring a guest to this event and all this means is just um that a player who is signing up and registering themselves for the event they’re going to be able to bring a guest if they want to and a guest refers to someone who does not have any membership in your organization
(22:19) they’re a true guest they’re not in your organization at all um turning on these settings would allow a member to sign up and also bring a guest along with their registration as well and then you can also specify the pricing for the guests as well as how many guests a specific membership type is able to bring and then lastly underneath the additional setup tab we have a couple different options here just going to point out the biggest ones um disclosure this is where if you set up a disclosure under the event settings you could
(22:47) attach it into the event here Revenue category again if there’s a specific Revenue category um that you want this event to go into you could specify that here Hide event on event list and calendars if for whatever reason you’ve gotten this all set up but you just don’t want it to show up yet on the information on the member side you could turn this on and then one of the biggest most important settings or I guess I should say one that I get the most questions on in support is what system users receive notifications for this
(23:14) event this is defaulted to all system users which means that anyone who’s in your system as an admin or sub admin is going to be notified anytime anyone signs up for the event that’s potentially a lot of emails so what I suggest here is switching this from all system users to just assigned instructors only and that’s just going to notify the instructor on the event when someone has registered so if you are an admin and you’re seeing this and you’re like I always get 100 million emails um that someone has signed up for
(23:45) an event it’s probably coming from this setting double check check your events and just make sure that this is a set set to assign instructors only or maybe just admins only or specific system users there’s a couple different choices here but I would highly suggest switching it off from all system users because that’s just going to be a lot of emails for everyone um who is a system user in your organization so that’s all our information on how to actually go in and create an event next I just want to show you um what it’s going to look like once
(24:14) you have an event in the system so there’s a couple different ways that we can view the events that you’ve already set up underneath events on the left here we can go into your event list this obviously is just going to be a list view of all of the events that you have set up in your event in your system and if you click on the event name it’s going to open up and bring you to the information for that specific event so just want to go over a few things on this page so general info this is where you’re going to see all of the settings
(24:44) that we just covered when you’re setting up the event so if you need to edit anything like the event start time or end time anything like that you could do that under the general info tab underneath the dates tab this is where you’re going to see all of the upcoming occurrences for the event so this one um that I’m showing as an example this has a lot of upcoming dates so underneath the dates tab if you just press the little plus sign here it’s going to show you the information about who’s registered for that specific event date
(25:13) as well as who might be on the wait list who’s canceled out um if you were require approval for the event this will show you if there’s anyone still pending approval and then if you charge for the event you’re going to be able to see a list of the transaction so you’ll be able to see who’s paid and who’s unpaid another thing to point out here is this is where you can register players so if for whatever reason you have to sign up a member from the admin side we would do that underneath register players here and when I click
(25:42) on that button it’s going to show me all of the upcoming dates of the event and I can pick and choose whichever ones I want to register that player into up here at the top it’s also going to give me a breakdown of what the pricing is so if you need to reference the pricing when you’re signing someone up it will show for you up here as well you also will have this option to override the event price for specific members so if you’re signing someone up and you’re giving them a discount for whatever reason you can override their event
(26:09) price here as you’re signing them up and then down here at the bottom this is just where we search for the name of the player that we want to sign up we’ll just search for their name here and we will see the little register button and we’ll be able to sign them up for the event so that’s how you would register players in if you ever need to do that from the admin side and then same thing if you have events that have a maximum capacity andyou’re allowing a weight list you can also add members to the wait list from
(26:34) here as well you can cancel the entire event be very careful of this button um if you want to cancel a single event date I’ll show you how to do that in just a second so this this uh button is going to cancel the whole event so be very careful with this button um and then add event date here that’s where for example maybe you have something come up and you’re able to open up the event for one more date you could add it in here this copy button at the top this is going to be super helpful for you on the admin side if you press this button it’s
(27:05) going to create a new event for you with all of the same settings that you already had set up for the event that you just copied so for example maybe you had um a special event that was really popular last month you could go into the event calendar from last month and just go in and copy that event and all you would have to do is just event uh is edit the event start and end time as well as the date that way you don’t have to worry about going in and creating all of the same setup settings that you did for the original
(27:31) event audit log this is also a really great tool for you on the admin side if you ever want to keep track of if there were any edits made to the events you could see that information you can also see the admin or the sub admin who did that and then you can also see information on when certain members signed up as well as if they did that from the admin or the member side so audit log is a really helpful tool just to kind of give you some more information about the events and then the last thing here just want to point out some of these options
(28:03) over here on the right this x button this is how you would cancel a single event date so again be really careful of this button this would cancel all of the event dates versus this um option next to a specific event date so so here I’m next to Wednesday August 21st this x button next to this date would just cancel this specific event date and then if you needed to edit a specific event date and not the entire event you can also do that using this little edit button and it will let you change things like the courts for that specific date
(28:32) um or maybe you need to change the time for whatever reason this is going to allow you to edit that specific event date that you’re looking at so the event list is one way for you to see all of your events that you have in the system I personally prefer the events calendar so this is under events on the left and then calendar this is just um a better visual view of all of your upcoming events that are coming up and again you can see this is color coded so for example maybe all of your members really like to sign up for the open plays you
(29:02) might just get really used to going into to those pink tiles or whatever color they are for you in your organization um so it’s the color coding is just a really helpful tool both on the admin side and on the member side but basically off of the events calendar you’re able to just click on one of these tiles and you can go in and edit event and you’ll see all of those same options that we just saw from the event list as well so general info dates and the transactions tab as well all right so the next thing that I
(29:31) want to cover are your event defaults so I’m going to revisit our event settings options here and go into the defaults so events defaults this is a really helpful tool to use on the ad inside if you have an event setup that’s going to be common across all of the events that you add into the system so for example anything that you turn on on this page will automatically be turned on for you whenever you’re going in and creating a new event so if you always allow your events to be public and you always want to allow people to sign up for them
(30:05) online when you turn those on here under the event defaults page they’re automatically going to be turned on for you for all of the new events that you create in the system after that point again what system users receive notifications for this event you can change this default you can change this to assign instructors only so that we avoid that issue that I mentioned before where all of your system users are getting notified every time someone signs up for an event if you change this under your event defaults option then
(30:33) you won’t have to change that every single time you create a new event so definitely utilize the event defaults page if you do have an event setup that’s going to be pretty common across all of the events that you’re adding in to your system all right and then just another thing that I want to point out here is event filters so this is going to be underneath your portal settings and your website settings and then event filters tab up here at the top event filters are just a way for you to kind of break down your events um for your members on the
(31:01) member side whenever we create an eventfilter I’ll show you this in just a second from the member portal but it’s going to give them those options to click right into your Fitness events or right into your open plays so it’s really just kind of a shortcut for your members to get in and view the specific events that they like to see so if you’re interested in creating an event filter we would just go to create event filter here you would name this whatever you want that droptown um name to be for your members on the member side so
(31:27) probably a really um common one that we would see is an event filter specifically for open plays just because people really like those maybe you create an event filter for summer camps so parents just have to go to that summer camps option and they don’t have to dig through all of your events to find the ones that they want underneath C ories that’s where you would say whichever event categories you want to show up under that event filter you can also create event filters for tags or events that are happening on certain
(31:53) days of the week even a certain date um or time of day I would say the most popular thing that people use when creating event filters is definitely categories but you do have a lot of different choices here um if you do want to make a bunch of different event filters for your members and just to give you a visual of what this will look like on the member side if I flip over here to my member portal any event filters that you create and show on the member portal are going to show up for your members underneath the events drop
(32:21) down here for some reason my website is taking just a second to load I have a picture in there so I think it just doesn’t really want to show my picture but anyway it would show up for you underneath the events dropdown whichever event filters that you create they will show up there and it will be a really quick way um for members to get in and access the event filters that they want so now it’s showing if I go into events here um I’ve created an event filter for my fitness events and for my open plays when they
(32:53) click on that it’s just going to be filtered down for them to be the events that fall into that category so that’s a really good um thing to use to just kind of simplify the member experience on the member side and then while I’m over here I’ll just give you a little bit more information going over all what your members are going to see where they’re trying to sign up for an event so your members are going to go right in under the events dropdown they are going to access your events however they want to I would say probably most members are
(33:22) going to go right into events list just because it’s first here and when I click on that it’s just going to pull up all of your events that are upcoming they will see the register button for any of the events that they are um eligible to sign up for when they click on register they’re going to be able to see if there’s upcoming dates they can pick and choose whichever dates they want to sign up for and then one other thing to point out here is if you have members who are part of a family then um the parents or
(33:48) the primaries on the account can also sign up the other members of their family as well so for example maybe you do have a summer camp your uh primaries on the account are going to be able to go in and sign up the kids the kids are not going to have to sign themselves up the parents can sign up the children um for them or anyone else in their family as well so that’s a really helpful tool all right so that is everything that I had to cover today going over events and best practices um Ashley we can go ahead and open it up for
(34:17) questions at this time yeah let’s do it okay so the first question I want to allow members to sign up for eight hours before I open to guess for them to sign up could you show that sure so we want members to be able to sign up for a period of time before guests are able to sign up so I’m assuming that we’re talking about um a guest membership type here um because otherwise there isn’t going to be a way to necessarily do that for if we’re allowing a true guest on the event but I will show you how to do that for um if you have a guest
(34:55) membership type in the system so if you wanted to do that we’re going to use the dropin registration start setting down here underneath the event setup and because this is split up based on membership type then you’re going to be able to say Okay I want this membership type to be able to register one week in advance for you if this is down to the hour you can also specify by hour as well um but you can say okay this membership is able to sign up this far in advance and then this membership type is able to sign up further in advance or
(35:26) something like that so you can set this up where people can register for the event at different times based off of the membership type that they have on their account that’s great yeah thank you the next question could we set up awithdrawal charge for instance a patreon signed up for an event paid $50 they withdraw the day before the event they would get charged a $10 fee so they would only get $40 back in credit or a refund could the charge be a percentage instead of a flat amount good question so at this time
(35:54) there isn’t a way for someone to automatically be charged if they’re withdrawing from an event if you’re going to charge them an extra fee um because they withdrew then that’s going to have to happen manually from the admin side um a lot of times what I’ll see organization’s doing is they will prevent members from withdrawing for the event a certain amount of time before it starts if you’re preventing members from withdrawing then what they have to do if they want to cancel is actually reach out to you on the admin side and then
(36:24) because you’re going to be the one on the admin side who has to cancel them out of the event whenever you’re doing that you’ll be able to go in and post that fee right onto their account I’ll just pull up my account super fast to show you what that would look like if you’re canceling them out of the event then you would just go in under their billing Tab and you could just go right here to post fee and then this is also going to give you the control over how much you want that to be so if you want it to be a certain percentage um you can
(36:52) figure that out here and post that fee right to their account but right now there isn’t a way to set that up to happen automatically it does have to happen manually from the admin side yeah and I would also say Dean that if you’ve already charged that member um and you’re going to have to refund them or give them a credit then when you go in to do the refund you can also just not give them the entire amount of the fee you can keep you know $10 of that for sure um and she’s got it pulled up here as well yep so anyone who cancels out of
(37:18) the event who had already paid you can just straight up refuse their refund so that you’re keeping their payment for the event even though they canceled or when you go into accept you can choose um how much it is that you actually want to refund them back so if they’re only going to get a partial refund you can edit that underneath the refund amount and you can also put a refund note in there as well so they know what’s going on yeah that’s great um deian also has another question if I reschedule an event do patrons enrolled in the event
(37:49) automatically get notified of the date and time change yes they should they should receive an email about that yep and don’t forget deian uh you can also go down to Notifications where you can set up those player see where Chloe’s on the screen now and you can actually go in and you can dictate emails text and push what’s going to go out of the system when it comes to rescheduling events and changing event information yep and this is the one that will go out it’s the event reschedule notice all right another question let’s
(38:19) see can you set up recurring events with multiple start times for the same event for example Saturday at 9: Sunday at 2 um yes I would not necessarily recommend doing that though because what you would have to do in order to make that work is you you would have to create the event and the recurrence um and it’s only going to give us one choice for the start and end times as we’re creating the event if um one of the recurrences or one of the certain days of the recurrence is a different time then after the event is already
(38:55) created you would actually have to go into each individual event date that’s going to be different and adjust the time there so usually what I suggest for people who want to do that is just create two separate events for the two separate times so maybe you have one that’s Saturday from whatever time you know 9: to 10: and then Sunday from 1: to 2 just because of the different um that way you don’t have to go in and edit all those individual event dates and edit the start times for those yeah and while you’re there on the
(39:25) screen I wanted to mention too um if you don’t know uh Tim and I opened up old Coast pickle ball and when we go to actually create tags we actually put emojis in our tags um just to even make them more fun and creative especially on the mobile side um you can just hit the uh Windows key I’m on a Windows device I don’t know if what’s your shortcut on a Mac Chloe I honestly don’t even know so like if you did summer camp uh we could put a little sunshine uh when you create the tag so you can’t do it there but if you go create a new tag
(39:58) Chloe like create like Fitness or something when you go to create a new tag and so if you go to create the tag and just put in Fitness and then what we do is you can you can also attach an emoji there and it shows up on the app and it is really just a a way to to make people visually see different things so if we have an advanced Clinic we put the little muscle arm up um so you can just have a lot offun with that too um if you want to see what some of those tags look like you can actually go out and um download the
(40:30) old Coast pickleball app um in the App Store iPhone or Android and you can kind of see some of our tags just try and keep it fun and for some of you that might be a really cool addition to what you’re trying to do for your players awesome all right any other questions wow it’s pretty quiet Chloe you must have knocked it out of the park [Laughter] today we’ll give you guys just another minute to answer any other questions or to ask any other [Music] questions again you know events is something that I I mean I love events
(41:07) and programming um did you show them where they can actually change the word event to programming oh that’s a great thing to point out actually that’ll be I believe I guess we’re going to find out in just a second it should be under organization settings and then I think it’s General yep Y and then down here at the bottom um alternate name for event so if you call that something different at your organization if you call that programming or clinics or something you can change that here and then anywhere that you were seeing that vents um
(41:41) wording before it would be changed to whatever you enter in there yep a lot of people I’ve seen change those so okay we got a couple more questions great let’s see is there a way to check people in at the time of the event on the app yes there is um I am gonna have trouble probably getting to the app view right now so I’ll show you the visual on the admin side but it’ll be super similar to what you are seeing on the app but basically um your instructors or whoever is going to be doing that they will pull up the event right on their
(42:10) app they’re going to go in um and when they go into the event details or to edit the event they’re going to see um the option to check them in right from there but if you’re doing this over on the admin side um if you go into the dates Tab and we just extend this um I’ll have this checkin option so it is available on the desktop version it is also available over on the app side as well it should be um I think it’s a green button but don’t quote me on that yeah I think you’re right and I and just so you guys know um I think we are
(42:44) actually as a company looking at almost some kind of like Geo uh check-in so if your members players if they get um you know within a certain amount of distance to the club it will automatically kind of check them in now don’t quote me on that I know this is being recorded but we are looking at some really cool features like that because data is powerful but if you don’t check people in then how do you know they show up so I love the check-in feature you can also collect payment on the app so your instructors
(43:19) your directors you guys can um collect that on the app we we I think we have some screenshots uh Betsy of what this looks like so if you actually reach out to live chat support and ask for screenshots just say Ashley ask me for screenshots I’ll find those and then I can send them to you if you’re interested let us know so uh another question for summer camps is it best to have parents sign up under a family membership oh that’s a good question what have you seen Chloe for summer camps like hey I want my kids to be
(43:48) signed up H how how have you seen some best practices around that yeah a lot of times I will see um a primary family member have an account in the system and then just have their children connected to them underneath the same family so they don’t necessarily need to have an actual family membership but as long as they are connected to each other underneath the family tab then the primary family member can go into the system and they’re going to be able to register anyone else who’s in the family so that’s definitely what I see a lot of
(44:22) organizations doing just because you know if they have little kids they don’t want the kids to have their own login um and it’s just easier for the parent to go in and choose those uh summer camp date that they want to sign their child up for and also with that if you do restrict the summer camps to certain age ranges um even though the parent obviously is not going to match those age ranges they are going to see it still for their child because someone in their family matches the Restriction they’re just going to make sure that
(44:52) they have to choose the the family member who does match those restrictions in order to sign them up sometimes the parent forgets to say that they’re registering their child and the parent tries to sign up and then they get the error that they’re not eligible but if you do restrict your events based on age the parents will still be able to sign up the children even though the parent doesn’t match the age restriction yeah definitely it’s um and we just came out with the ability for waivers and so um at the event level so
(45:18) you can add a summer camp waiver at the event level and so that’s also reallygood um any other questions let’s see here I’ll see I see this one in the chat Ashley about the programs is plural so when you’re changing the name of your event um anyone who’s doing that it automatically makes it plural I totally forgot to mention that so you’re going to want to make this the singular and then um the system will automatically make that plural so for you guys um you would want this to say program and then the system would automatically make that
(45:52) programs yes excellent um we have another oh wow we got some questions over there too okay so um let me see Isabella’s question here let’s see when rescheduling a class we’re able to select a different date it doesn’t allow us to change the time do we have to change that manually uh let’s see for example a beginner class today Wednesday at 1 o’clock is canceled due to rain we reschedule it and have the makeup on Thursday at 2 o’clock if we reschedule the but if we click the reschedule button on the class it allows us to
(46:26) change the date but not the time is there a way to change the time so that players can be informed of the correct date and time with the automated email that’s a good question I don’t think there’s a way to change the actual time as you’re doing the reschedule button I think you can just change the date and you would have to change the time um after the date has already been changed but I see how that could be a little confusing with that notification that sent out but yeah I don’t think there’s a way to change the time at the
(46:54) at the reschedule button level at least yeah I love that Isabella so what I’ll do is I’ll take this back to the product team and see if we can make a change to also be able to modify that time because I do think that that’s very valid um at absolutely um all right the next question do you set up a person as a guest if membership is not required to participate in an event program or Camp can you read that one for me one more time asle do you set up a person as a guest if a membership’s not required so if they’re not a member of your
(47:21) facility then I would have a guest or a non-member membership and that way you can still require them to sign your waiver to uh charge them differently because maybe your non-members guests pay you know a different fee than your members for sure for events and programs and camps so yeah I would definitely um set them up um because again think about it like this Cheryl if if I have a non-member that’s in my community that comes and participates in classes or clinics and they love it maybe we can eventually you know Market to them email
(47:57) to them use text or push right and get them to be a member in the future so I would definitely set them up as a non-member guest um even if membership’s not required um let’s see Daren how do we change the setting to disable the pay online option for our events so let’s see Chloe I I’m guessing Darren you’re talking about disable to pay online so you don’t want people to pay for your events um maybe just show where they can set pricing yeah so I would say um probably what’s most helpful here would be to hide the pricing in the first place so
(48:32) that way people aren’t even getting confused about having to pay for the event um but also if you don’t have required upfront payment turned on then they’re still going to be able to sign up for the event without having to pay for it at the time that they’re signing up so I would definitely utilize those two settings not having required upfront payment turn on and also having high pricing turn on as well yeah that’s good uh let me see here oh we got it right awesome thank you Daren uh let’s see for a series of paid clinics can you cover
(49:07) the difference and how refunds are triggered between using cancel for one day and then adding a rain date versus reschedule to add the rain date okay hold on let’s read this again for a series of paid clinics can you cover the difference in how refunds are triggered using cancel for one date but I guess then adding a rain date versus using rescheduled to add the rain date did you get that Chloe um sort of um I would say for whoever asked that one I’ll do my best right now to answer that but that might be a really good support ticket if
(49:38) you have an example of that CU it based on the wording of that question it sounds like um we would need to just like see an example of what happened there um but just to kind of give you some information that maybe will answer your question whenever you are um canceling an event date and you’re not rescheduling it if you’re canceling an event date that someone has already paid for the system is automatically going to refund them because if they already paid and you’re canceling the date it’s going to trigger a refund to be given out to
(50:11) them so um that’s going to happen I think the question here though is like what if you do cancel an event date but then you add another one in um obviously that’s going to change the pricing ofthe event so I don’t know if I’m answering this very well I would say that would be a good support ticket if you have an example um of that happening and we can take a closer look kind of and and work through that um in your specific organization where that’s happening yes that would be good um all right let’s see VJ has a question for us
(50:39) let’s see not sure if this question is off topic regarding family memberships how do we restrict members to a Max number and also ensure there are only two adults plus three kids we have found more than three adults joining BJ oh that’s terrible somebody trying to cheat the system uh well it’s kind of off topic Bo we don’t have any oh we okay so we can answer this really quick so right now if you go to memberships you can actually Chloe can kind of show us where you can set up your membership to have a max number of
(51:08) family members but then uh it’s not g to Max the adults versus kids yeah there’s not really a way to do that at this time just at the max yep so I guess um you know really watching your folks you could definitely do um age uh you know a membership restricted by age um so you might have to think of an interesting way if you do have a lot of people trying to game the system um you know maybe have that’s interesting but it’s a great it’s a great product feature BJ in the future where you could set it up to allow only so many adults um to be on a
(51:47) membership so I’ll take that to the product team for sure um so let’s see any other qu any other thoughts around that Chloe um my only other thing I’m not sure sure if this is exactly what was being asked but if you do I I don’t think it was but it’s a good thing for me to point out anyway um if you want to restrict the number of events that people can sign up for um this is something that we can turn on for you like on our side on the customer success side we can turn on event restrictions and then what you can do is underneath
(52:23) booking settings and event restrictions here you can limit them to a certain number of um registrations by time frame so you know by day or by week or by month um I don’t think that’s what the question was but that’s just some good information for us to point out this is not something that’s turned on automatically so if you want to use event restrictions and you’re not seeing that button you can submit a support ticket to us and we can turn that on for you on the back end yes uh let’s see are we any closer to the possibility of
(52:54) photos being able to be uploaded by members yes uh we are I know that the product team you know because I’m married to the guy who does all the product I know that they are working on allowing um members to upload photos um I don’t know where that is in the road map right now but I know it’s it’s it’s been talked about so I know that it’s coming D so yeah for sure um that’s a that’s a good question I know it really does help from like concierge like front desk standpoint being able to see you know Khloe’s face pop up and then you

(05:36) reserve and Josh Willies here today uh Josh we have quite an interesting webinar today it’s all about um maybe the little special buttons that you didn’t know existed in court Reserve not that we have any little special buttons uh we have you know lots of different things that sometimes make a difference sometimes when you probably come into live chat support you’re like I cannot figure this out and it’s that one button so what Josh has done is he’s actually gone through the system and he’s put together a great View and a teaching of

(07:40) going to be great we’re going to make a bunch of different stops and so hopefully we’ll get to meet you guys in person um so without further Ado Josh here we go all right let’s get started I can share my screen here all right great so customization and optimization in core Reserve there’s a lot of different places that we can be doing that customization and that optimization so I have sort of broken down this webinar into a few different sections here because I know we’ll be kind of going back and forth all around
(08:12) the system so the first section today will be in communication the first feature that I will be going over is push notifications if you don’t know what push notifications are push notifications are going to be a way that your organization can communicate or notify members directly from the court Reserve mobile app so this is going to be different from text alerts this is not something that’s sent to the member’s phone number this is a notification that the member will see directly from the court Reserve mobile
(08:46) app and if they click on that notification they get taken directly to that mobile app this is going to be an additional feature so if you would like to enable this feature we want to go over to settings on the sidebar scroll down to the bottom row and here you’re going to see additional features or add-ons if you’re on the older pricing structure and from the additional features or add-on page we can enable the push notification alert feature once we have that enabled we can be taken to the setup page and like all
(09:23) other forms of notification whether that be email or text we will be able to pick and choose chose which notifications are going to be sent as push notifications here if we have subscribed unchecked but active checked this notification will be disabled for the member by default but they can manually enable it if they would like to from the personal information page if we check subscribed then that means by default this push notification will be sent to these members and it will be enabled but if they’d like to
(09:58) manual disable it they can always do so with push notifications we do also have an additional tab here and this is going to be where we can upload our organization’s logo the reason for that is because since this is a notification from the court Reserve mobile app members are always going to see the court Reserve logo with that notification but we can additionally show our organization’s logo so that way if a member has an account in multiple organizations they can see which one is sending that specific notification we also have the ability to
(10:39) bulk send push notifications like we do for emails and texts so if we go to members on the sidebar we have the bulk text or the bulk push option when we go to thatpage we can send some information that we need to send to the member and when we go to the next page we can choose our recipients and we can also see a preview of what this push notification would look like on the memb mobile phone a benefit with push notifications is one again the notification is coming directly from the court Reserve app so if a member clicks on that notification
(11:17) they get brought directly to the mobile app they don’t get the text alert and then have to go find the app on their phone um and navigate to it this is is something that will directly bring them to the app and also with that push notifications do not have any pricing around how many push notifications are sent um this is just part of the text alert and push notification add-on for the price of the add-on so like text we have additional $5 for every 500 text that are sent but with push notifications you can send as many
(11:55) as you like to without getting any additional uh pricing for it so it can be cheaper on the organization end and it’s also just going to be an easier and an easier experience for your members hey Josh can I just say something so uh Tim and I we actually at Old Coast pickle ball the pickle ball club that we opened we use push notifications all the time specifically around filling classes and programming that have one or two spots open or if we have open court that you know we’d love for people to take advantage of like Same Day pricing I
(12:31) love push notifications because it is a very soft touch to someone’s phone it’s not as direct as a text message but I think push notifications are great because when they do open up their mobile device to come back into your organization they’re going to see some of those notifications and so again we love using it I think it’s a great value for what it is and I would just encourage folks if you’re not using push it is definitely one of my favorite things yeah yeah it’s great um and with Note communication um another feature
(13:03) that we have in the system is the ability to customize or add additional information to emails when we are sending out the email system notifications in the system so for example if we want to add our cancellation policy to the reservation confirmation notification that a member receives or if we would like to add our refund policy to the payment receipt notification that a member may be emailed we can add that information by going to settings on the sidebar going to the reservation settings row and going to the email
(13:42) messages page so from here if we go to create or edit one of these custom email messages the first step here is to choose which system notification email that we would like to add message too so it can be related to reservations events or anything payment related we can choose if the message that we’re adding will be included on the bottom of the notification or the top of the notification and then we can add any custom messaging that we would like to add to the system notification so anything we add here is in addition to
(14:21) the information that members already see in that notification all right and that goes over the communication aspect of this webinar so the next section that I have here is booking and event registration um I have one little tip and trick for reservations one for lessons and one for events for reservations is going to be the additional feature that we have called Court weight listing so if a member you know wants to book a specific Court type at a specific time but they see that all of the courts have been booked for that time this feature will
(15:03) allow them to join a wait list and from there if that spot opens up they will get a notification letting them know that that spot is now available for them if they would like to book it so again this is a an additional feature so if we want to enable this we’ll want to go back down to the additional features or the add-on row and on this page here we are going to be able to enable the coure weight list feature when we go to the setup page here this is going to be how we can set up Court weight listing on an organization-wide level there is going
(15:41) to be a way that we can apply this only to specific custom schedulers but first I will go over how we enable this for all members in an organization on the setup page um the only weight listing type that we have available is called any on weight list plus viewing scheduler basically what this means is if that spot opens up that a member joined the wait list 4 they can join and they can take that spot but also anyone else viewing the scheduler will be able to take that open spot as well but the member still gets
(16:17) the benefit of getting the notification that that spot is now open so that way they can get that notification and try to grab that spot quick quick L from here we can choose if members are going to be allowed to join the weit list from the member portal if we have this unchecked only admins would be ableto add members to the weit list and then from there we can allow members to wait list when desired Court type is available this setting how it works is say I have three pickle ball courts if all three of those pickle ball courts
(16:49) are open a member will not be able to join the weight list but if even one of those courts gets taken up then the weight list option will be available if I uncheck this setting then every single Court in that Court type would need to be booked in order for a member to join the waight list so with this checked only one Court in that Court type needs to be booked with it unchecked all courts in that Court type would need to be booked we can display the current number of players that are currently on the weight list for that specific time and
(17:26) then we can apply the membership booking rules when joining the wait list so if I have already booked two reservations for this week and we apply the membership booking rules during the weight list I would not be able to join the weit list if I have already hit that maximum restriction amount if I uncheck it my booking rules would only apply when I am actually trying to book the reservation after that spot has opened up so that’s going to be the difference there from there we can prevent the weight list x amount of hours out so if
(18:03) we only want to do it maybe for you know maybe last minute bookings or bookings within the next 24 hours we can do that and then we can choose which courts we want to apply the weight list to so this would set it up on an organization level but say maybe we only want to offer Court weight listing to specific membership types maybe we only want to give this feature to the premium membership at an organization we can instead set up Court weight listing on a custom scheduler level so if we are going to set it up
(18:40) that way we would want to not allow players on the member portal to register to the weight list on an organization level instead we would want to go back to settings go to court andall machine settings and go to the custom schedulers page and if I edit a custom scheduler that I have in the system for example here I have this custom scheduler specifically for my premium membership I can scroll down to the bottom of this edit page and I can override the weight listing settings so right now on an organization level I’m not allowing
(19:18) members to join the weight list from the member portal but when I override the weight listing settings on this custom scheduler that will allow allow me to apply these settings specifically to this custom scheduler and it will not apply to any other schedulers in my organization so if we set this up on a custom scheduler level and say for this custom scheduler only the premium membership can see it then that means only the premium membership members would be able to utilize the Courtway listing feature so that goes over the tip that I have
(19:58) for reservations for lessons I will be going over the book a pro scheduler that we offer so if we go back to settings on the sidebar and we go to instructor settings we’re going to have the book a pro setup page right here in the system by default if we don’t have a book appr pro pro scheduler set up members will not be able to book lessons in your organization and lessons can only be booked from the admin side the book approach scheduler is going to be what gives members access to booking lessons directly from their
(20:34) account so if we would like to give members the ability to do that we can go to the book appr pro setup page and if we have any schedulers here already created we can see them here but if I go to the edit page and we’re setting up the scheduler I think something that’s always important to point out here is we can set up these schedulers so that they’re filtered by instructor type by instructor by lesson type and we can also show the scheduler to specific memberships so depending on how many instructors you have at your
(21:13) organization depending on if you have different sports at your facility and you have pickle ball and Tennis Pros maybe if you want to set up a different scheduler for each membership in your organization we can do all of those different setups here just depending on how you configure each book appro scheduler that you create in the system so there’s going to be a lot of flexibility here and I will say how you set this up will most likely differ depending on how many instructors you have how many different lesson types you
(21:46) have um if you have a lot of different memberships with a lot of different booking rules that you’d like to set up for each one um but I think is important to know that you you have the flexibility to set up these Book appr Pro schedulers in many different ways depending on what you want to offer I mean for example you know if we have a book appr pro scheduler for our individual membership and then we have a different one for our premium membership if we have all of those set up indifferent schedulers we will be able to
(22:19) decide for each membership ship how much time in advance can an instructor be scheduled or how many days in advance are we going to show instructor availability for a premium membership versus an individual membership um so there’s again a lot of different ways you can set up the book appr pro schedulers it’s most likely going to depend on what you do offer at your organization the different membership types you may have at your organization um but there’s just going to be a lot of different ways we can customize the
(22:53) setup in the configuration for the book appr pro schedulers and then for the last tip that I’ll show here is going to be for events um this is really going to be two different setting pages that we have so for events if we go to settings and we go to the event settings Row the two pages that I will touch on today are going to be the event defaults and the event tags the event defaults are going to be the settings that are preset up whenever we create any new events moving forward so if we have a lot of settings that we are
(23:32) applying to 90% of the events that we are creating in our organization we can just set those settings up automatically on the event defaults page so that way every time we create an event we don’t need to manually go in and enable or or disable all of those settings so if we’re going to always have a weight list setup here um if we’re always going to have a Max registrant of 25 except for a few use cases you know we may want to consider setting all of these parameters up as event default so that way you really only need to deal with that
(24:13) setting if you’re going outside of this parameter that you set up here you know if you’re an organization that’s really pushing the requirement of payment profiles or upfront payment we can enable those settings from the event defaults page so that way you don’t need to think about that and set that up manually every single time that you are creating an event the next page that I will go over is going to be event tags so if we go back over to the event settings row we have the tags page on the end of this row and tags are going to be a way that
(24:52) members or admins can easily filter by different types of events in your organization so this is going to be sort of an optional way to categorize your events and here I have a few examples so if you offer adult senior and Junior clinics you can have different tags for each of those event types you know if you have different categories if you have your morning your afternoon and your evening clinics we can use all of those as tags and when we are creating an event we just need to apply those tags on the top of the setup page for an
(25:31) event and then from the member portal if I go over to my event list I’m going to be able to easily filter by these tags so if I’m looking just for the morning clinics or if I’m looking just for the adult Clinic I can use these tags to very easily filter the specific type of event that I am looking for hey Josh another thing that I love about tags is that you can add the Emoji to the tag and it populates h it’s it just makes it fun right so if you’re having a strength training class you can add the little arm pump of the muscle right uh so it’s
(26:16) just so cool you can use your short keys and they actually populate through and it’s just a really cool thing because then it’s another eye-catching uh way to let people easily be able to identify what they um want to sign up for right right and just adding a little character to your member portal you know making it stand out a little bit more and be a little bit unique when you’re on your organization’s member portal okay great yeah so that goes over booking and registration and just the different ways to customize or optimize
(26:49) in the system the last section that I have for today is going to be the member management and the reporting aspect of this webinar so the first thing that I will be going over in this section is going to be custom Fields if we go to settings on the sidebar there’s going to be a few different places that we can get to the custom Fields page but the first one we’ll see is going to be under reservation settings right here so when we are creating custom Fields there’s going to be a few different custom field categories that we can
(27:28) select depending on where we want to apply this custom field the first one here is going to be event this is going to be a custom field that shows up on the event setup page when you are creating or editing an event and this is going to be entirely on the admin side so this is not some thing that is used when a member is needing to add additional information to their event registration if we’re looking to do that we would want to instead use the event registering category this is going to be where we can ask for their doubles partner or
(28:07) their shirt size or any information that may be relevant to a specific Clinicthat we need the member to fill out when they are registering into that specific Clinic we have the member category so this is going to be a field that would populate on the details page or the personal information page for a member these are going to be the custom fields that we can also apply to the signup form so if there’s anything like emergency contact that you need to get from a member when they’re creating their account um we can set that up as a
(28:42) member custom field we have the reservation in the lesson custom field so when we select this we can choose which reservation or lesson types this custom field will be eligible for so if we want to ask some custom questions when a member is booking a private lesson to better understand what they are looking to learn and gain from that lesson you know we can always add those different custom fields for reservations and lessons and then we have a transaction category which would just be an additional field that you see on the admin payment window
(29:20) and if you go to the transaction details for a specific payment you would be able to see that custom field but with all of these different custom field types we’re going to be able to choose the field type that the member sees so we can choose the text box option that’s going to be a smaller text box similar to what we see right here we have text area which is going to be basically just just a larger text box if there is anything that a member needs to fill out that may be a little bit longer than just a few words and then we have the drop- down
(29:59) option so if you want to pre-create the options that the member would be selecting from this is going to be how we can choose those different options we can add additional options if we need more than four um and then from there the member would be selecting from what we are typing in for each option from there we can choose if that custom field will be required we can choose if it’s going to show on the member portal so if this is something that members should see on their end we can choose if this shows on
(30:32) the admin side so this is going to be something that’s visible when maybe a admin is creating a member’s account or when they are registering a member from the admin side are they going to see this custom field we you can choose if it’s going to be enabled which is basically just saying should this custom field be visible and then depending on the type that we choose we may get a few different additional settings here if we display on the member grid that would make this custom field visible on the member list page on the admin
(31:08) side if we are looking at an event registering custom field if we show it on the registrant list that’s going to give us an additional info icon next to each registrant’s name and that way we can easily identify the information that they filled out for that custom field so for example if I go to the event list and I want to see what members filled out for that custom field if I’m showing this on the registring list I get this info icon and I can see the information that that member had selected so that goes over custom Fields
(31:48) another part of member management that you can customize in the system is going to be check-in statuses so if you are an organization that is using check-in statuses and you sort of just want to manually Mark if a member is checked in or if they are noow we can also add additional statuses by going to the additional or to the organization settings row and then going to the check-in statuses page from here if we choose to enable the advanced check-in status we are going to be able to create check-in statuses we can
(32:28) choose if they’re going to be active and we can also choose the background color in the text color that we see when we are applying those statuses in reservations or events with that we can also choose the order that they would show in when we are adding a status to a member or to a registrant on an event um but this is just a way that you can create more statuses maybe there are some use cases that you want to have a specific status for this is going to be how we can have more than just checked in and noow has
(33:04) statuses here and the last thing that I will go over is a few tips and tricks with reporting to just make reporting a little bit easier on your end so when we are under any report in the organ in an organization I’ll use the members report as an example here if we have a report that we are maybe running on a weekly or monthly basis and we just want to be able to quickly pull that information so for example maybe I want to get a list of all members that are currently inactive right now I can apply all of the filters
(33:41) that I need to we can scroll down to the outputs we can apply which outputs are going to be relevant here and we can also sort these outputs as well so if we need to change the order of the outputs and also choose which ones we’re applying we can do that here and then if we click save filter orsave report on this specific report we can save this report so that we’re able to easily just come back to it in the future um and based on the filters we apply see how that information has changed on a weekly or a monthly basis we can choose if it’s
(34:21) something that only your account would be able to see or if it’s something that all system users in your organization should be able to use once we have a filter or a report saved if we click the saved filters or the saved report option we’ll be able to see all of those different saved filters we have and we can quickly load them so some examples that I have here say you’re an organization that is really pushing for every member to have a payment profile on their account if we save a filter that only shows us members with
(35:00) no payment profile we can run this on a weekly or a monthly basis and then with the members report something that I really like here is we have the ability to email text or send a push notifications to these members um so if you want to just get that list of all members that have no payment profiles send them a quick email to let them know that your organization’s going to need that information that can be really handy for you all right um and then another one that I will point out for reporting is in this case may be a
(35:39) little bit more relevant for your transaction or your financial reporting if we go to something like the sales summary we can also use this save filter button um but say you want to just filter this report on a monthly basis or we want to see everything from last week if we use this drop down to select this week last week or current month or anything like that when we save this filter and then we load it in the future it’s going to be looking at this setting here rather than the specific dat so these specific dates will automatically
(36:18) be applied based on what we are choosing in this drop down here so that can be really handy if you just want to quickly run a financial report based on last week or the current month or last month or the current year all right so that goes over everything that I wanted to cover today Ashley do we have any questions or anything that you wanted to touch on yeah actually um you must have knocked it out of the part because we only have one question so far and it was from your very first um going over emails and Nancy had a question how do we know what
(36:57) they see already in the email um or what we might want to add um as far as the email goes yeah so if you’ve already sent email system notifications out to your members and you want maybe just a reference of what that’s going to look like we can take a look at the notification audit log in your organization by going to audits on the sidebar and then looking at notifications so this would show us really any notifications that have been set based on the filters that we apply here let me remove my date filter so we
(37:30) can see a little bit more information so for example if I just want to take a look at what the current reservation confirmation email looks like we can click the details here if we send it as a push notification you can see the preview and if we send it as an email we can see what that email will look like and if we add any additional custom information you know we’ll be able to see that custom information when we click on details so we’ll be able to see exactly what this looks like from the member perspective so her next question are are
(38:11) there templates already set up so that’s a great question uh because uh while you guys were learning and in class I was actually talking to Tim about some of the upcoming things that we are going to be um working on this fall to add to court reserve and a new and improved email Designer is coming and Josh I believe you’re going to work on the ability to create templates within that is that right correct yes um so there’s going to be a new email Designer that we’re working on and that will include the ability to create templates for
(38:45) emails that you are bulk sending to members um and I don’t want to share too much information but we are looking into how we can allow organizations to customize system notifications as well we haven’t started the development or anything on that but just know that that is something we have been discussing and and will be in the work shortly yeah and I also got permission to share a couple other things um account credit CRS is coming that’s super exciting because right now if a player has a credit on their account then if an admin is
(39:23) processing a payment it’s automatically going to pull from that credit and so account credits is like 90% there it’s so exciting because now the admins will have the ability to save that credit and use it for what the player or the member wants so that’s excellent uh save my play integration I mentioned earlier uh video cameras right we have them at Old Coast pickleball it’s where uh the cameras come you set them up and thenthe player can actually uh Say Hey I want you to record my session on the court and then it emails the clip to the
(39:53) player it’s such a cool integration we’ve been using it at Old Coast for about four months now and the players really love it uh Go tab Go tab is another integration we’re doing this allows a point of sale restaurant style so that’s another great integration so if you have a club that you know you need a little bit more than your pro shop and selling beers you want to ring up a burger and some fries and give a tip and a discount that’s what go tab’s going to do uh improved player onboarding um I believe that goes
(40:22) towards maybe the registration page Josh is that right so this will have to do with um onboarding just on when you’re creating an account also through the Branded app just making the experience for creating an account as a new player easier and just more frictionless when you’re going through that process merge members know for you existing Court Reserve clubs who have been here you’re the OG’s merge members is something that’s probably exciting for you and then the last one he is allowing me to talk about is team based event
(40:56) registration yay that’s so awesome a lot of great stuff that’s coming out in October yeah and so team based registration for events is great because then we can have teamb based leagues and things like that and so that’s another cool uh really good so uh let’s see any more questions here uh are the coaches have to be set up on book a pro in order for a customer to book them online yes yes yeah so they would need to be set up as an instructor in your organization in order to add them to a book apro scheduler yep I know a lot of orgs that

(00:00) hi everybody Welcome to the court Reserve webinar uh today we’re going to be talking about point of sale and all of the fun things that you can do in court Reserve with the point of sale um I am Kim from the product team I am joined by Josh also with our product team and then we have a special guest joining us today as well Connor from the team at throuth and so we’re going to give you guys um really a in an in-depth into the court Reserve point of sale and then also Connor is going to be sharing with us some uh awesome things about
(00:32) what froth can do as the Pro Shop Pros um so I’m going to go ahead and let Connor take it away here in a second but if you have questions as we go along there is a Q&A section um just feel free to drop any questions into the Q&A and we will address them as we go along hopefully we’ll be able to answer a lot of those questions that you have live um but if there’s anything that you are curious about please don’t hesitate to ask okay so Connor I will let you take it away Thank you very much Kim um I appreciate you guys taking the time to
(01:03) do this I um am excited to share a little bit about what I myself and from with Rocket Sports does so um qu everyone see my screen we’re all good there I believe yep you’re good to go great um so fou Rocket Sports has been around since the late 70s um it started as a pro shop but we slowly turned into to to a Wholesale Distributor when the tennis boom hit um so what that means is we have a big Warehouse as all the tennis Brands um whether it’s shoes apparel Court equipment in every racket sport um for your Club so let me see yes
(01:51) so um we’re the largest wholesale distributor in the US in racket Sports um so we carry every sport you see up there um tennis has always been our bread and butter forever uh but obviously with the opportunity of pickle ball we’ve to have head first into that what we see with padell and then some of the older racket Sports platform squash rocketball badminton and then some newer ones Beach tennis and pop tennis so our customers are country clubs independent retail shops high schools and universities um so why froth so fromo this is a little
(02:35) bit of background but we are you can go directly to these brands or you can go to froth fouth has a exceptional reputation in the industry and it’s really why we exist for our customer service um and shipping those are two major Staples for us um they’re we keep it old school we have a full customer service staff on 247 on the phones um and they can steer you in the right direction take care of anything you want um and then that quick shipping so satisfying that customer as quickly as possible and being able to keep a
(03:16) tight inventory of your product as I said before no minimum work quantity so that makes it less of a headache um another thing that makes it less of a headache by going through us is we are that One-Stop shop right you’re not going to all these different brands and having to order 20 rackets of one model at a time um and waiting a few weeks to get that you can get everything at once from us whether it’s Wilson balls and head rackets um or babat shoes Nike shoes all that um and then a big um piece of our business which I will dive
(03:57) into um as we go forward is is the because we sell all these clubs is the logo embellishment um so I’ll get into that more um here so I wanted to go over a lot of Trends we are seeing in this industry right we when you call us you’re not just going to get products from us um and do that One-Stop shop you are going to get advice from us you can ask us anything so whether it’s what we we see selling the latest trends our customer service team is updated weekly and trained to really be the experts here so that you can run an
(04:40) efficient Pro Shop um so a major Trend that we’ve seen an uptick in as a result of what Amazon brings to the table as a competitor and just the surplus of brands that are in the industry now is logo embellishment so this is something we really preach to all of our customers and they love and continue to use us for this um is doing this custom product for your customers it’s they don’t they’re not going to buy a plain Nike te I mean they may in some cases but they can go to Amazon for that now they can go online
(05:26) and find the cheapest one they want to buy the Nike te with your logo on it um so that has been a great success on our side and all the clubs we sell to it’s all about that they want to leave with that momento after they have a great time at your Club um so we do all that for clubs as I said big a lot of tournaments big tournaments like a Philly Cricket Club for example will come to us and say hey we need 300 t-shirts for national grass courts um and this is our pricing this is our size they get all that information we will
(06:12) set up a form and do all that for you and then they have no backend they are getting it straight through their door and out their door and it’s a it’s an easy money maker there um for allparties involved and then um leagues is a big one we do so a lot of men’s and women’s tennis leagues custom apperal um but this is just a piece of the industry that continues to Boom um we used to Outsource a lot of our Uh custom product and we saw such an uptick that we built a logo embellishment um like little Factory in our warehouse um as of that so that is a
(06:57) big piece of the Pro Shop business now um we I know I got a little into it on what we do as a wholesaler but I think it’s important to note that we also do own and operate a few Pro Shops ourselves um one being the USA national campus and that custom merch has continues to fly off the shelf right you have a great experience at a phenomenal location um and that is really uh paid off for us so um that is something we continue to preach the next Trend I will go over is pickle ball clubs as we all know pickle ball clubs are hot this is where a lot
(07:43) of the money in the industry is being um blown through and um pickle ball boom is huge but it’s a very difficult sport to navigate when it comes to the equipment right now there is a surplus of Brands um and there’s a new hot brand every year it’s it the trend it’s very hard for us to track honestly but we feel like we’ve gotten a good handle on it over the last year um but as you see up there it is known as the Wild West in the industry because there is so much going on with 2,000 plus paddle Brands and um it it can be a very difficult
(08:30) thing to navigate in the pickleball world right now um so up here I gave a little example of kind of what we list out and what we can do for you and help steer you in the right direction that you can put that product in your shop and it will go out the door um so from Top shoe brands to top paddle Brands to um top clothing Brands you know we we really see it all and we have that large sample size from the wholesale side and then we get to see it firsthand with the Pro Shop side so um I think we’ve gotten a pretty good handle on it and I I don’t
(09:12) wish it to be the wild west anymore um but this is what we can help you with so like the Big Brand we saw come into the space really they’ve been around for a little while but a merge this year was 6-0 obviously everyone knows Yola and cirk and um another one is Crush come on in the scene there is just a lot going on and it’s hard to navigate it’s hard to commit to one brand right now in pickle ball unless they’ve really cemented themselves like a Yola like a selker and um that is where we can come in and kind of steer in the right
(09:55) direction and you only have to order two or three if you want you don’t you can order one if you want you know it makes this just an easier process for you um so you’ll see top women shoe brands we’ve seen so like a k Swiss has really emerged they’ve made a strong uh Resurgence in the industry and that’s um one we continue to see go up uh but yeah so that’s a super hot trendy thing right now is all these pickleball clubs and franchises are popping up and they don’t know what to stock on their shelves so they are coming to us and we
(10:31) are doing free Consulting basically as a result of them being a customer um another one you will hear about and it’s an it’s such an exciting time to be in the racket Sports industry there’s more going on than there has been in 25 years since the tennis boom so um and that’s a result of pickle ball and now padell which has been built out overseas that they it’s just a very exciting uh time to be in the space and there’s a lot of opportunity um so padell padell is something is a Sporter padell paddle um I know it gets a little confused in
(11:12) the platform so the name you can call it what you want but um this is a sport that is starting to see really tremendous growth um across the US there’s a lot of money being poured into it and and there is a lot of money to get out of it um as a result of the clientele the product rackets are two to 300 bucks that are on the higher tier end and they don’t last forever um they depending on how much you play but these are some of what we’re seeing and I do a lot of this with all the new padell clubs coming up in the industry I am
(11:51) walking them through what brands to use for balls rackets shoes um and it’s really been a trial and error process for us over the past year and a half um but over the last six months with all these clubs being built out um and being very Hands-On in this process and visiting clubs I’ve learned a lot and our team has learned a lot about the hot Brands the right Brands to carry um and how to just really go about the process um there because it is so new in the US and not enough people um know about it um but again that money is coming in and
(12:36) it is super hot right now so um that’s a little bit about broth I am happy to connect with any of you um after this I can walk you through kind of what we do what we recommend for your pro shop and all that so um I I really appreciate the Court Reserve team they’ve been a greatpartner in this process and uh thank you guys absolutely thank you so much for joining us and Connor if you want to shoot me over your contact information I will get that over to um our customer success team and then if any of our um customers have questions about how to

(14:09) joining us today um today we’re going to be going over all things point of sale I’ll sort of touch on some more basic things at the beginning of this webinar so if there is anybody here that is maybe not as familiar with the point of sale feature we can sort of touch on the Essentials um and then on the second half of this webinar I will be going over things like Inventory management and also the sales reporting that we have in the system before I get started in the system I would like to point out that on October 15th we did release our
(14:42) integration with goab so if you are a facility that is selling food or beverage you can now integrate goab into your organization and any fees that are generated from goab will be pushed over to this member’s account in court Reserve um I won’t go too in detail on the actual integration because we are going to have a webinar with the goab team going over this integration in a lot more detail so if you are interested in that definitely be on the lookout because we will be sharing more information on the date and the time of
(15:19) that webinar once we get that for you so let me go ahead and get into into the system here and we can get started so I will jump over into court Reserve okay great so I’m sure a lot of you here if you’re at this webinar you already have point of sale enabled in your organization but if not and you are looking to use the point of sale feature we can go over to settings on the sidebar and if you scroll down to the bottom row here we’re going to have the additional features or the add-on row and on the additional features or add-on
(15:56) page that’s going to be where you can enable point of sale once you have that enabled if we go back to this sidebar navigation you will now have a point of sale button on this sidebar here and this is going to be where we can start setting up our items and things like that so I’ll kind of just go over the basics here before we actually create any items in the system a few things that we can set up our item categories so apparel beverages you know if you’re selling paddles or rackets um this is going to be where we can create all of
(16:33) those categories and when we are creating or editing a category we can also include a revenue category so rather than having to add that Revenue category to each individual item this can just save you some time on that setup and you can just apply it to the entire category with that we can also set up our tax rates and some manufacturers in the system before we actually get started with creating any items so under the items drop down here we’re going to have the taxes page this is going to be where you can see all of the tax rates
(17:09) you already have created in the main section of Court Reserve but if you need to add any you can also add them from the point of s setup as well and then below that we are going to have the manufacturers page and these are all things that you would be applying to an item when you are creating those individual items so um it may be best to just set these up beforehand that way you have everything set up and ready to go prior to creating those items um but if we need to add that distinction between these specific
(17:42) manufacturers and you want to break it down by a manufacturer in your reporting you’ll be really helpful to just get those created on this page so after we have those set up we can start actually creating items in the system so we can go over to the item list and this is going to be where we can create those items when we create them this is going to be where we apply that category that manufacturer unit cost and retail costof an item tax rates um and then we can also keep track of the stock of an item so we can add how much we actually have
(18:18) in stock and then we have a stock onand alert that we can add as well so if we want to start getting a little bit of a notice once an item is low in inventory we can add the number here where we would like to sort of start seeing that alert um and a little bit further in this webinar I’ll show you the reorder stock page that shows that alert we can add the UPC or the skew code here as well and then also add an item page AG or an item image if we would like to so with items once you have created it there’s also the option of creating
(19:00) variations to that item so if you are selling something like a sweatshirt or a t-shirt or athletic shorts or anything like that we can add VAR uh variations for those different sizes of shirts so we can click add variation next to an item right here and with each variation we can set up our own unit cost retail price and we can also keep track of the stock on hand for specific variations and also get alerts for specific variations as well so that kind of just briefly goes over the basics of creating items and
(19:39) item variations in your point of sale um something that I will add is we do also have the ability to import your inventory so if you are newer to the point of sale feature um and maybe you were using a different system previously and you just want to quickly get all of those items added under the items drop down we do have an import inventory button here and when we get to that page we are going to have this little button here to download our template you can also reach out to our customer success team if you need any assistance
(20:16) with just making sure your import sheet is formatted correctly um and they’ll be happy to look over your Excel sheet and your template to make sure everything is set up correctly before actually doing this import so once we have the items actually created then we can actually launch the point of sale system so if you click launch point of sale here this is going to be where we can see all of our items and we can add it to the cart if we need to if we have variations for an item this is going to be where we see
(20:50) it so when we click on that item there will be a drop down for each of those different variations that we have from here we also have the option to Discount an items price we do also have the ability to add some shortcuts if there are some common discount percentages that you are adding so if we go back to the setup page under the settings button on the sidebar we are going to have a discount table here so if you have you know maybe an employee discount that you just want to quickly apply in some cases we can
(21:29) just add a shortcut button for this discount so that way you don’t manually need to type in the percentage that you are giving to those items so here you can see I have a few different examples of that from this page we can also choose which payment types are going to be allowed in the point of sale system so if there is anything like cash or check or gift card or anything manual that you would like to keep out of the point of sale system when you get to that payment process this is going to be where we can remove those different payment
(22:06) types but if we go back to the actual point of sale where it is launched if we click the discount button on an item this is going to be where we have that drop down and you can label them whatever you’d like so if if you’d like to label it you know employee discount rather than 15% you can always do that and then once we get to the checkout page something that I would like to point out here and this is a small adjustment that we’ve made based on the account credits feature that we released on October 15th so if you are manually applying
(22:44) account credit to unpaid fees rather than automatically applying it and we select a member here that has account credit on their account here we can see I have this amount in account credit we’re now going to have this toggle here where we can decide if we would like to apply this credit to this payment and then we can always disable it if we would like to charge the member’s card or just add the fee to the member’s account um so I did want to point that out since this is part of a new release that we had um in October
(23:19) hey Josh there’s a question I wanted to um get answered for us real quick um if you flip back over into the variations on the item list is there a way of copying A variation currently in court Reserve I do not believe so let me check no it does not look like there is but that is something we can keep note of yeah definitely we’ll take and add that to our our product road map yes yes thank you all right great um so that’s sort of the essentials of using of setting up items and then using and launching the point
(23:58) of sale I just wanted to touch on that for anybody that maybe isn’t as familiar with the point of salefeature all right um I see that that we do have a question for a cash list with credit card on file what allowed payment type should we check so let me go back over to the settings page so on the top here we’re going to have credit card swipe SL manual if you are integrated with a payment provider this is actually going to be checked and disabled so we can’t disable if you can use credit card or not in the point of
(24:32) sale if you are looking to do cash list or prevent any sort of manual fe uh payments from happening we can uncheck manual credit card cash check and gift card so that way the only two options that we have here are the credit card swipe or the manual credit card um that would include payment profiles or we can charge the fee to the account without actually processing a payment there so that would be what I recommend adding if you’re trying to do cash list all right do we have any other questions before I move forward um there
(25:12) have been a couple questions just around tab but I’m going to take care of those questions just with my typed answers um so go ahead and you can keep going okay great um so yeah like I was saying um that kind of just goes over the essentials of creating items item variations categorizing them and then using the actual or launching the actual point of sale some things that I really want to focus on in this webinar today are going to be a few ways that we can manage inventory and then a few ways we can and report on our
(25:50) sales so if we go back to the items drop down we are going to have this page here that is called stock adjustment from this page we are going to be able to see every item that we have and every variation of each item that we have as well and we can see the amount of stock that we have on hand and we also have this button here to quickly adjust the stock for these items so if you had a small order that just came in or you need to make changes to multiple items in terms of the stock that you have on hand this is a quick way that
(26:27) you can do that for multiple items when we click on the adjust stock button we’re going to be able to choose an action type here so we’re going to have some actions that will add to your stock on hand like stock received sorry we also have the ability to do an inventory recount and then we also have some action types that would subtract from the stock on hand so if anything’s damaged if anything’s lost we’ll be able to track all of that and then from there we can make that change if you are looking for a report
(27:10) that will quickly show you all of these stock adjustments whether that be you know filtering by the date that they were adjusted or the system user that made those changes we do have a stock adjustments report on this page we do have a shortcut to it we do also have it under our reports as well so when we get on this page this is almost going to be like an audit log that is showing us all of these stock adjustments that were done in your organization we’re going to be able to see the item name and the variation name
(27:49) we can see how it impacted the quantity we can see the action type and we can see the system user that made that change as well we’re also going to be able to filter by System user um and item categories item names and things like that as well one second sorry so if we’re looking to just find a quick place where we can see all of those adjustments for any item in our organization we can easily do that from this report if I go back to the stock adjustment page you’ll also notice that when we click adjust stock we can see
(28:31) the stock history for individual items as well so those are going to be the two places where we can quickly see that stock adjustment the report would be where we can see any stock adjustment for any item in our point of sale inventory so now if I go back down to reports we’re going to have some different reports here um if you remember previously when we were setting up an item we could set up a stock onand alert so that when the inventory was low for an item we could get an alert for it when we see the restock or the
(29:06) reorder stock button we’re going to have this little red dot here if there are any items that have reached that alert amount when we click on on this page we’re going to be able to see the current quantity and then also the amount that we have set that alert to so this is a good place to just keep track of any items that you may have low inventory on all right and then if we go back up to the top of this report here uh reports drop down the first two that we have our item sales and category sales this is going to be a place where we can
(29:46) can see the net sales or the amount without tax that this item was sold for we’ll be able to see the amount that was sold uh or the tax amount in that purchase we’ll be able to see the gross sales so that amount including the tax and then we’ll also be able to see the profit that we made so it’s basically going to take the net sale amount andthen subtract the unit price of that item so we can see how much we made as an organization on these sales same goes for the category sales page the only difference here is this is
(30:21) going to be broken down by category rather than each individual item that we have in the system um but we’re going to have the same columns here so we’re going to be able to see the net sales the amount in tax from that purchase and then also the gross sales and the profit the next report here we have is the inventory valuation on this page we’re going to be able to see how much we have on stock for a specific category we have this plus icon that will show us each individual item that’s in that category so when we’re looking
(31:03) at the average cost it’s the average cost of all items under this category but we can break it down to the items and also the variations for that specific item from here we would be able to take a look at the amount we have on hand multiply by the cost of that item and see how much an asset value we have of that specific item there and we can also see based on the asset value what percentage it is of our total asset in our inventory we will also get the retail value so how much it costs for retail price and we can see that percentage in
(31:45) total retail for our inventory as well all right sorry losing my voice a little bit um so the next report that we have here is the sales tax report this is actually going to take us over to the Sal summary that we have in the main section of Court Reserve so if we are trying to get a breakdown in terms of net and gross sales and the amount in tax that was paid in our point of sale purchases we can do that from the sales summary you can also pull this up when you’re in the main section of Court Reserve but when we run this
(32:27) report we’re going to be able to see the amount in sales that were exempt we will be able to also see the amount in sales that were taxable and then we’ll get a breakdown for each different tax rate that you have in the system and how much you collected in that tax rate from there you’ll also be able to see the gross sales and the net sales in point of sale as well from this report we also have the payment summary so from here we’re going to be able to see just the total amount in payments that we have made through the point of
(33:03) sale and this will break down the payments by each payment type that we have in the system here and then we have the sales page this is going to show us each sale that we have made in the system we’ll be able to see the subtotal the amount we collected in tax and then the total amount as well as the payment type for that sale and then also who had tendered that sale as well sorry I am losing my voice um do we have any questions or anything that anybody wanted to go over I know I kind of briefly went through some of those reports because I was
(33:49) losing my voice a little bit yeah there was a question if we want to back up to just how to charge uh users in the point of sale so let’s go um back to your point of sale launch the point of sale and then open an order and there’s um some questions surrounding how do does a user or a member need to be set up in the system and have an account set up in court Reserve in order to purchase items through the the point of sales system so does does every single person I sell to have to have an account in my court Reserve database they will not have to
(34:25) have an account created so if I let me add an item to my cart really quick if we go to the checkout this member drop down is going to be optional so if you do have somebody you know you can quickly find their account link this fee to their account but you don’t necessarily need to so if you have someone at the point of sale that has doesn’t have an account in your organization and you want to process that payment we can still use you know our payment methods without selecting a member here and Josh is the ability to I can’t
(34:59) remember so I’m gonna ask if you know the answer to this is the ability to um control whether or not you can do that is that a setting within the point of sale as well that they need to say um allow members to charge if they don’t have an account um I do not believe we have a setting for that right now but we can definitely keep note of that right just want to make sure if it was something that we added later on after the point of sale was introduced that you know normally it’s a setting but okay yeah right now we do not have a setting for
(35:36) that the only type of restriction that we can sort of add to the point of sale is under settings we can restrict suspended or inactive members from having point of sale items charged to their account cool um and there was a suggestion that also came in for someone that does not have an account it’s a good idea to create a profile for miscellaneous income so the items might be easier to find because yes when you do charge somebody or you do process a payment in point of saleand it’s not tied to remember um those
(36:06) those items when you’re looking at your transaction list later um they’re you know if you’re filtering by a member they’re not as easy to find if they don’t have a person that’s a good idea that is yeah all right and then is there a way for court Reserve to automatically apply a member discount rather than having to manually apply a discount right now we do not have a way to link the discount amount to specific memberships or anything like that um the best option that we have right now is just sort of creating this discount percentage
(36:39) shortcut so that way you can quickly apply it when you are selling those items all right sorry I’m answering a question here live um let’s see is there a way for Port Reserve to automatically oh you just answered that one okay um and can you restrict a member from charging to their account and then somebody did also want to point out there is a setting in each individual’s member account that will restrict you from being able to charge to their account so if you want to show where that setting is people might be
(37:15) interested in that as well thank you for that suggestion all right yeah so if we are under a member’s account under the details tab if we scroll down to the bottom here there’s going to be a charge to account not allowed on point of sale so if we do need to restrict you know just an individual from being charged there this is going to be where that setting is Right awesome that was the all of the open questions that we have right now okay great well that was all that I had to cover sorry I know I kind of lost my

(01:32) that’s important you’re busy and uh but we’re really excited for this so uh today we’re going to talk about the patch Court Reserve integration we’re going to explain to you what it is what it does how to use it how to get signed up and we’ll explain a little bit about uh about patch for you a few housekeeping items before we get started um we really do want you to ask questions so on your uh screen there on your go to webinar screen you’re going to see a little question area you’re going to see a little chat area you can

(02:31) Available to You Court Reserve is going to put it I think on your YouTube channel right Ashley um which is awesome and then we’ll send it out probably in about a week week and a half via email um and then we’ll have team members who will reach out with the recording personally as well so we’re excited you’re here today so first of all let’s do introductions Ashley let’s start with you you are a co-founder at court reserve and you wear so many hats I love it so much just tell us a little bit about yourself about court reserve and
(03:02) about you well hello thank you so much for having us uh so Court Reserve we turned eight years old this past year so we’re going on nine years uh you know if you guys are familiar with court Reserve you know that everything we do is about what the club the facility needs and this isn’t just for pickle ball this is for pickle ball tennis padel badminton whatever you need because this is really an integration that you guys have been asking for and instead of Court Reserve taking the time to build it um we know
(03:32) that the patch team has built a phenomenal product for you to review and see if this is what you’ve been looking for for member attention Outreach communication special events so I’m really excited for you guys to see this Tim and I have been using this at Old Coast pickle ball for several months now and we have seen some results and so I know that McKay and the team at patch they’re going to go through um a lot of information today and just know that we’re here for you you and we’re excited to be here yeah awesome that’s great
(04:03) great introduction um and then my name is McKay Allen I’m the CEO at patch um and you know just to reiterate what Ashley said we are so excited for this integration for this partnership as we’ve gotten to know the court Reserve team over the last couple months as we’ve built this and worked with them they’re awesome they’re great people and um that makes a partnership like really fun when you’re working with good people and then the technology piece I I think Ashley said it really well like we’re dedicated to making sure this works for
(04:31) your businesses and um we’re learning stuff along the way like we were talking just before we went live here just about some of the things we’ve done during the onboarding process to try to make it simpler make sure people are engaging with the products so we’ll talk about that today um so let’s Dive Right In here and talk about what we’ll discuss on the webinar so first thing introductions we did that already we just knocking things off here um why this integration we’ll do an overview of what the integration does um I’ll do a
(04:58) few slides just explain who patch is um what we do who we are we’ll talk about how specifically some clubs are using the integration and then we’ll do Q&A um so again I’m seeing uh some questionspop in already which is awesome so keep those coming um okay why this integration um let me share this from the patch standpoint and then actually maybe you can just take a second and tell us why this integration from the court Reserve standpoint as well so from the patch standpoint and you’ll see this as we dive in our system is really
(05:27) really powerful when we have things like transaction membership and and Revenue data um when we’re able to capture that data man our system can do some really cool stuff with triggering texts and emails and full automations based on that data it becomes really powerful and when you’re a hammer and you’re trying to trigger cool automations and texts and emails everything looks like a nail and so when we talk to court Reserve about this initial my first thought was like holy cow imagine the cool things we can do for these businesses if we have
(06:03) this data that Court Reserve already has and that’s why we were really initially excited about this integration and then the other thing that we learned really quickly and there’s this sense I think in the industry that this industry is like because of of how new um you know many of the businesses are there was this sense of like gosh there’s not a lot of like technology that are pouring into this industry that are ready to serve these businesses and so I think that’s why the court Reserve patch marriage was such a good match is
(06:36) we’re both dedicated to you know seeing businesses in this space succeed so for us that was an no-brainer um as from your standpoint why was this integration important well I’ll just tell you from you know Tim and I of course we we have court Reserve so everything we build is from our customer feedback but from an old Coast pickle ball perspective so now I’m a I’m a business owner I’m a director of a club I’m in a facility I’m opening my doors and now I’m using Court Reserve but of course Court Reserve doesn’t have the ability to Auto send
(07:11) out something when you know Bob comes to my pickle ball club for the very first time I want to make sure Bob comes back I want to make sure Bob signs up for all the open plays the round Robbins I want to know when Bob’s birthday is I want to know if Bob hasn’t been to the club lately so yeah you can go in court reserve and you can pull out data right but there’s no automated data to keep pulling at Bob to let him know that we want him back so from just Tim and I our standpoint of being club Owners or Club directors we needed a way to do that
(07:45) Outreach to trigger things like that to I mean everybody if you know Tim he loves Automation and data right so when we found out about patch we knew from our standpoint from being the the people who were paying the light bill that we needed to know when these customers were going to come back through the door and try and drive that in engagement and that interaction with them so when when we get through a couple more slides you guys are going to see wow this is exactly what I’m looking for because now what we’re seeing at Old Coast pickle
(08:17) ball is that these Journeys are written and So based upon the activity of the player now these Journeys will continue to let us know how often Bob’s come into the club how much you know if we need to send Bob a discount to lure him back in those are the kind of things that Tim and I were excited about for our own club and I know that a lot of our other clubs will be excited to to learn about this as well awesome love that so let’s get down to the Brass tax what will the actual integration do and then what can
(08:46) you do with it so essentially and I’m I’m like the the folks that are more technical on the call who who helped build it are going to be like geez he really was high level with this but basically it’s sending contact information from Court Reserve to patch so your customer’s name phone number you know email that kind of stuff but also and most importantly things like membership data and transaction information so we’ll be able to know based on the information Court Reserve ascending patch um if they’re a member
(09:15) if they’ve attended classes and lessons um if they have spent money while they’re on site and with those pieces of information you can then then trigger texts to be sent to them like Ashley was saying you can trigger emails to be sent to them you can actually start a loyalty program within our system within patch you could create really basic or more complex automations based on these triggers right so you can say okay if someone has not spent money in the last 60 days I want to send them an email and three days later I want to send them a
(09:52) text and if their expiration for membership is coming up I want to send them a text and then two emails those are the types of things that we’re seeing that uh that businesses are doing with the integration right now you could also follow up after a class or a tournament um and try to get them to uh do the next thing the next logical classor become a member or upgrade their membership however your business is structured those are the types of things that you can build uh with patch and with with core Reserve um so to
(10:22) reiterate contact tax revenue bookings check-ins all of that is syncing from Court Reserve to patch um we also can help you get opt-ins for texting or for email we can help you create forms so you can put those forms on your website and get paid at or for paid ads to get them into the club and then um build help you build automation so like I mentioned membership expirations one of the really popular ones is to get people to leave a Google review after they leave for example or people to um a send them an email or a text or both on or around
(10:56) their birthday so things like that are things that we’re seeing really successful uh so far uh that clubs are using anything to add on all that Ashley no I think it’s important any anything you can automate that way you can do the other 14 jobs you need to do that day right you’re on the court you’re clean in the bathroom whatever that looks like this just really helps manage your time and make better business decisions based on what you see here love that okay this I think is really important to know so um couple questions
(11:32) I’ll is um you know is this part of Court Reserve or is patch like a separate product company how does that work and how do I get signed up for both so just to be super clear um patch and Court Reserve are still separate companies you’ve got to be a customer of both to use this um so you’re a court reserve customer we’ll work with you to get signed up for patch um for our our our pricing we have a discount if you’re a court reserve customer and then once you’re signed up for both within Court Reserve you go back into your settings
(12:08) go to add-ons and you’re going to see patch retention is the little uh little circle on the far right and then our team will help you connect the two systems on that initial call and then data will start to flow so it’s it’s fairly simple we’ll help you will walk you through it and within one call once you’re a customer probably on the first onboarding call we’ll make sure the two systems are talking and data starts flowing um and I just huge compliments to the court Reserve team who’s made it like really simple with just the patch
(12:42) retention logo right there in the add-ons functionality in the add-ons area so um and then on the back end of uh of patch you can see the exact same thing like this is where you actually go to connect the two and again help you do this um on the back end during that first onboarding call as well anything to add there Ashley yeah so if you guys after this call today uh what you’ll need to do is we’ll need to get you on an onboarding call with patch first to go ahead and we’ll need to you’ll you’ll just easily be able to go
(13:14) into court reserve and under add-ons like you always do with other Integrations and click that on so that you’re ready to go um and again if you have additional questions that are specific to patch the patch team is probably best to answer those um but if you do come into court Reserve live chat then we can certainly get you connected with the patch team after today’s call as well that’s right yep we’re connected with the with the court Reserve team and so we’ll make sure that we’re able to answer questions you have but just to
(13:42) reiterate you would need to be a customer of both patch and Court reserve for the integration then to work and for you to start seeing the benefit all right why don’t I walk you through what patch is what patch does um at a high level and then we’ll kind of go through that may answer more questions as well and we’ll kind of walk through the integration in that context and then uh talk talk to you about how customers are using it and then take your questions so about patch what do we do what do we focus on first is customer retention you
(14:11) have a database you probably have members part of our job and the most important part of it is to help you retain those customers and those members second is new customer engagement engagement third is new subscriber list growth and then fourth is to save you time like the goal once everything is set up is for you to set some of these automations and forget about them and they run in the background forever and you just get revenue from the from the automations that run and that’s really powerful and that’s what we’re hearing by the way um
(14:47) from the court Reserve customers that are signing up so far the biggest thing that we’ve seen and this is why we went with the name patch is every single business has a leaky bucket you’re losing members it depends on the we as we’ve dug in a little bit we are learning like it wildly varies in terms of how much membership churn you’re seeing every year but every business sees membership churn and sees customer churn people who came to your Club a year ago eight times over the year someof them probably only came two or three
(15:18) times this year so our John is to help identify the leaks help you patch that bucket and then reinforce uh that bucket so part of the way we do that is we use what’s called rfm analysis to help you segment your customers so things like recency frequency and monetary and then we categorize your customers into buckets like are they loyal are they at risk are they new are they promising or are they already lost and once we’re we’ve determined what those buckets look like based on the data that comes from Court Reserve
(15:53) we then able to help you um attack and and really focus on those customers to move them up into different categories so you’re going to see dashboards about which things are working the best our texts working the best our emails our automations which are actually producing the most revenue for you and for your business will help tell you how many of your customers are are lost and what that Revenue opportunity could be if if we could recapture that that’s important as well and then this is I think really interesting this was some
(16:29) data um that I think changed my view a little bit on on our customers sometimes if members cancel if they let their membership lapse um or if they just stopped coming to your club we think ah they went somewhere else or there wasn’t enough value or they had a bad experience the bathroom wasn’t clean whatever it was sometimes that’s the case but most of the time it’s because they just haven’t thought about you you’re just not top of mind and that is the biggest thing we can help with is keeping you top of mind so the members
(17:01) continue to show up and pay their membership fee and for those who aren’t members to transition to a membership model or just keep coming and paying on a single play basis so how do we help with that um we will help you um build some of these automations so you can actually engage with these members and with these customers so for example these are just some examples um if someone’s been a member for a year you could say Okay I want to set up an anniversary automation so a year after they signed up for their membership I want to send them an email
(17:42) and a text great that’s easily set up within our system if they’re already lost if they’re a lost member they haven’t been in a year let’s say you could set up a lost campaign that says okay if they haven’t been in a year they’ve lost their membership I want to send a text then I want to send another text or if they’re not opted in for texting I want to send two emails so there’s just kind of an infinite number of ways that you can use this based on their behavior and based on if they are engaged based off if
(18:16) they’re not engaged to make sure that you’re staying t top of mind uh for them one of the most effective use cases we’ve seen so far is a lot of the pickle ball clubs that have and and clubs of all types that have signed up so far have done a welcome campaign so they have said okay someone signed up as a new member or they’re visiting for the first time they’ve actually signed up we will send them an email a text another email another text and get them in a welcome campaign that has been really really effective to this
(18:53) point you can also build even more sophisticated campaigns if you want to so you could say Okay somebody who is new I want to try to get them into the loyal category and I want to send a text and then an email and then 23 Days Later another text and another email and with a a customer in the industry what we found is that 58% of the time when they engaged with someone that was in the the new or promising categories they became loyal after getting into the campaign after going through the campaign that that was
(19:32) built um for returning customers you can ask for reviews so probably the most simple automation to start out with is once they have have shown up is to the next day or the day of send a text asking for a Google review that works really well also asking for referrals from their friends or for their friends and then they show you the text they show you they’ve done that when they arrive the next time and you give them a discount on single play or something so we have customers using that functionality as well which is really
(20:07) powerful um I mentioned the Google review campaign this is one that is really effective um so once they show up we wait 10 minutes we send a text how did we do we have one customer who’s tripled their Google reviews in 60 days doing this just a very basic campaign the thing that’s cool with this is the texts associated with the Google reviews have a 98% open rate and then here’s the other cool thing that third bullet point on the screen there if someone says they like you it’s the text will say if you loved us click here if you didn’t like
(20:42) us leave us feedback so they click on the link if they liked you and that takes them to Google the one that uh where they don’t don’t like you if theyhad a bad experience that goes directly and only to you so you’re we’re trying to help you filter the good reviews and the bad reviews out and then if somebody’s lost or they haven’t been in in some time and by lost I mean maybe they’ve let their membership lasts or or perhaps they haven’t been in six months whatever it is you can do some winback campaigns and and try to send them
(21:15) emails or texts to get them to come back with discounts with reminders things like that that will engage them and we’ve seen clubs that have had massive success doing this so far um this is a more complex one that came from the industry so getting at risk customers to engage so these are customers who hadn’t been I think in this case it was like six months and they were able to send a text then what is that 7 Days Later send another text another 7 Days another text another s days another text and 40% of those that were essentially gone
(21:52) re-engaged and spent money at the business again so there’s real world success here that we’re seeing which is pretty powerful um Ashley anything you want to highlight there before I jump into kind of another aspect of patch uh but anything about those automations that I should I should add on or answer questions on here well no I guess I want to make sure that folks understand you know patch still still has to honor you know if someone unsubscribes from you know text or email you know we’re not going to continue to you know they won’t
(22:27) continue to send just like we do in court Reserve um we’re not you know they’re not going to go after you know they’re not sending things to your customers unless you guys have built the automation so there’s nothing in patch that’s GNA go Rogue and you know send your customer stuff without you guys building it and knowing about it so this is just know that you know a lot of times people are asking for this in court reserve and so it is a function now that we have um and I would also say one of my favorite things that Tim and I
(22:58) have gone through especially at Old Coast is looking at the revenue per player in a span of time so it’s great to see your top players maybe you make those special members at your club or coordinators or you know those are your most valuable people those are the people that are probably bringing other people to your Club so being able to identify those top players at the club who spending more money than anybody else or spending more time is Super valuable to you as a club owner or director because then you can take that
(23:28) data reward those people or make them your ambassadors at your club and I just wanted to mention that because that’s been really effective for us I love that that’s really cool and the thing that’s cool with with what Tim and Ashley have done is because they own old Coast they’re they’re such experts in the space right so we’ve taken a lot of cues by what they’re doing in patch to to help build some templates for the other businesses that are joining um that’s been super helpful and then two qu we’re getting a ton of questions which is
(23:59) awesome I see them Jen Wendy Alex Amy Wendy again Michael I see them all we will get to them I promise um but two questions I want to hit right here the first one is how does the texting work like are they going to think it’s from patch or they going to think it’s from your business um you’ll have dedicated either local or toll-free numbers that you can use for texting through patch so they they’re from you like they’re not from us so you are sending those texts from your business they’re regular phone numbers they’re not like the five-digit
(24:33) short code things those weird ones you see um they’re regular numbers they’re just it’s just like their mom texted them or whatever so those those show up as regular text and they’d be from you you you know you’d say hey it’s from you know business whatever your name is and to be from you so so they won’t think it’s from patch um and then Ashley brought up something really important which is we will never like this is your system right so we’ll help you set it up we’ll help you with like hey these templates and these types of things are
(25:04) working really well in the industry but like we’re never going to send anything like we’re not an agency right so we’ll never send anything for you um you send when you want to send you start the automation you want to start will help you of course but yeah don’t don’t worry about us like going rogue like that we we have no interest in doing that so we won’t do that um all right why do reviews matter I’ve mentioned reviews I just want to highlight this so 93% of consumers use reviews as their first step in choosing where to purchase
(25:42) something where to spend their time particularly when they’re trying to determine where to spend like their their discretionary or Le your income and that’s why getting reviews really matters a lot so we can help you with that they’re looking for things likequantity they’re looking for new reviews so you can’t just say okay we’ve got a 100 reviews we’re done getting reviews for our natural life you can’t do that you have to continue to get new reviews and we can help you with that I think we showed that that one customer in the
(26:10) industry that’s tripled their reviews in 60 days using patch which I think is really important the other thing that we offer and we’re actually seeing a lot of customers do this is we can help you put a little widget on your website that will instantly um pop up when someone enters your website if you want it to and engage with them they put in their information and suddenly they’re texting with you so it it transitions like a traditional web chat into an actual texting back in fourth with you in a onetoone basis and that is really cool
(26:43) and you will see leads increase from your website if you do that um your customers will want to communicate with you in that way more than they’re going to want to call you or fill out a form on your website like that’s how they’ll want to contact you so that is something that that is part of this as well we also offer things like checkins um you can have people check in you can also have people fill out forms I think that’s really important we can help you build forms for your website um and then this is just kind of
(27:16) a highlight of everything that is is coming with platform so email you can send emails to segments to your whole list to anybody you want you can use patch as your email platform you can also use patch as your texting platform so whether it’s onetoone texting or texting like large groups of people we had a couple of early adopters who were signed up in December and they actually sent out um text messages to Big segments of their list um right before Christmas and did holiday specials and saw massive massive increases in membership from doing that
(27:52) um we showed you the journeys the automations that you can do you can build rewards programs you can build Google reviews programs the text Chat thing that that texting widget I just showed you and then also ask for referrals and the the DAT I showed you a little while ago all those things are on on patch and you get as part of this integration which is really cool um okay let’s just go through just exactly what you get with the integration already so you can automatically sync your court Reserve data to patch will help you with things like
(28:30) lead capture and then you can do texting you can do email you can do automations things like hey your membership’s expiring soon your birthday’s coming up um you just had a class you just attended a tournament uh so there’s all sorts of ways you can build camp campaigns using patch um and we’re constantly like we’re working with the team at court Reserve to even get more specific data about like hey we can see that you attended a class we’re working with court Reserve to get the data for which class it was like the actual name of it
(29:04) so then you can even do more specific marketing to that that person if you want to as well um and then like Ashley said at the start it’s super easy to sign up um and and a simple process to engage with us so um with that why don’t we engage with uh some of these real businesses and show you how they’re using it right now and then we can take questions and go through everything that everybody’s asking which is awesome so first uh uh this one’s a pickle ball business that is based in Ohio how are they using this
(29:40) so they put texting on their website they have sent text and email blasts to their members and then they’re using basic automations so some auto replies for messages they’re also doing like hey you’re a new member welcome sort of those campaigns and then on somebody’s birthday they’ve sent a text on birthdays um and with that they produced about $20,000 in Revenue so far that is tied directly to those campaigns so that’s a huge deal for that business as you can imagine another one in Georgia um they are using text and email
(30:16) blasts most commonly and when I say blasts what I mean is basically you can go and say hey I want to send an email to people who um have been members for six months and send an email to everybody at the same time um or I want to send a text to people who have spent money in the last 30 days and send that text to everybody at the same time um they’ve also used texting on their website and then they use patch to actually help build their form and then for automations they’re doing a basic new member automation Journey a
(30:53) welcome Automation and a birthday Automation and they’ve produced about $11,000 in Revenue so far which is really cool so real customers using patch using Court reserve and using this integration are seeing like Real Results which is which is always so fun for us uh to see customers using the product so Ashley I just went there for about 15 minutes uninterrupted so any any uh thoughts you have or anything things Ishould mention there before we dive into Q&A yeah lots of thoughts you know one of the things I’ll just say from my own
(31:21) experience in the beginning when we opened up our club now just because we’re a pickleball club we could have been a padel club or a tennis club or whatever yeah but when you when we opened up our club you know there’s a lot going on and then four months in there’s a lot going on and you may be having to change your business model change your programming change all of this but what I was doing is nights and weekends I was in Facebook and I was in Instagram and for those of you who do your own social media marketing some of
(31:49) you may hire that out some of you may not do it at all some of you may do it you know what you’re trying to do is you’re trying to drive initial interest in your facility whatever that looks like hey come by facility sign up for a free lessons free class beginner whatever but then you know it it takes a lot of time to create the graphics to create everything and I’m talking about just social media in in its how we use it today so if any of you are out there and you’re using this I was spending a lot of my nights and weekends trying to
(32:18) engage people to either come the first time to Old Coast pickle ball or at least come back come join us for this that’s what this automation does for you guys it really does save us time because now I can be focused on well of course Court Reserve but I can be focused on a lot of the other things that I have to do and when you set these automations up they’re going to do it for you once it’s just like a said it and forget it and that’s what it we’re always trying to help you guys manage your day better so you do have work life balance and you
(32:48) know and so again I just that that’s my biggest takeaway from what you said in the last 15 minutes is because I was able to kind of not have to be in the constant pulling of hey let me get some new people in the door or at least now I can get these return people in the door even if they’ve come to Old Coast pickleball one time love that that’s awesome you make such a good point so there’s like two ways you can you can engage with with with uh with patch like and be Hands-On keyboard on this right and and dive in so we have some
(33:19) businesses who are they’re in there every day they’re sending emails they’re sending texts like you can tell they love it and then you have others who are like look I just want to build out like some basic automations one time right right I want to send out a Google review request when somebody shows up I want to send a new I want to build like a a four-step new member welcome campaign I want to build out a birthday campaign and I want to send an automation to anybody who doesn’t show up for six months right and that’s it and I never
(33:53) want to log in again fine like cool that is totally fine both use cases are great so um we love that so let’s do this as let’s go through these questions um and go through as many as we can go through here in the next 20 minutes or so and um and try to answer these as best we can so hopefully we answered some of the early ones on as we went through but we’ll just double check with everybody so um will this be part of Court reserver is this an extra cost we hit that one it is an extra cost patch is a different company so you’ve got to
(34:27) be a patch customer as well so um do and what does that involve basically like we’ll do a demo with you we’ll show you the product we’ll make sure you understand it that you want to do it we’ll make sure that pricing works for your business and um then you sign up um once you’re signed up you have an onboarding call with our team well there where they will help you actually like connect the court reserve and and Patch integration um so hopefully that answers that question Sarah ask will this be available in all regions yeah wherever
(34:56) Court Reserve is uh we’ll be there too um yeah everywhere should just I think I’m in everywhere which is great um let’s see Wendy asked kind of the same question is this part of Court Reserve no it’s separate separate business so it is a additional cost um Alex says will The Client see patch Court Reserve or our club is the one who sent like an email or text your Club completely your Club so imagine white labeled almost right white labeled yeah that’s right so it’s going to be a text from a number that that is associated
(35:32) with your business um it’s going to be an email from a domain that’s associated with your business so like yeah it’s from you you run it that’s all um Tim asks different Tim not your Tim Ashley thanks Ashley McKay we’d love to see some actual Roi metrics um since it’s been deployed at Old Coast good question I I don’t we didn’t go through that before this call but yeah what are you seeing so far in terms of like what’s what benefit is this producing for old Coast specifically Ashley yeah well I can say you know just the couple
(36:08) of things that we’ve set up uh we’vealready done the texting within the platform within our own website I’ve told you we already we’ve seen where we can you know locate which players are driving the most Revenue at our organization and making those kind of ambassadors or coordinators at our club um I can talk to Tim my Tim and ask him if there’s some specific metrics that we can show you guys and if you’re interested in seeing those metrics you guys can send me an email Ashley atcr reserve.com it’s not a problem um I’d
(36:35) love talking to all of our great Partners um and so send us an email can see what we can show you um just so you can see from beginning to end you know and what we’re using uh I I think that’s a great question actually and I wish we would about that today yeah yeah no that’s a great question the thing that’s cool so on the home screen when you log into patch once you’re a customer and you’ve started to send some stuff you actually can see um we call it conversion Revenue so basically it’s like okay for everything that you sent
(37:09) did did it actually produce Revenue and we’ve had some people like ask well how do you track that like what does that mean basically what we do is say look if you interact with a campaign um like if someone let’s say if one of your customers interacts with a text or an email and then they spend money with you in the next seven days we count that as like conversion Revenue that it’s associated with the campaign um is it perfect no but it it’s the best we could come up with to like try to tie it back to some action that they would
(37:40) have taken so good question um let’s see can we link this to our social media campaigns in some way great question currently no so we’ve actually had a couple people ask this recently is like could we link this to like a Facebook post or something could we post on Facebook with patch right now no we don’t we don’t do that it’s texting an email mostly um let’s see Josh asks is there a way for someone to fall off if they give if they’ given a review or would they keep getting the message with every visit oo really good question yeah so if they
(38:14) actually click on the review link you can actually build part of the automation to never have them get that campaign again so by clicking on the review link they would never get like an ask to leave a review again really good question um let’s see you know what I’ve actually logged in to patch for old Coast pickle ball and I’m happy we got real time here love it let’s go okay so but I can’t share my screen oh no you can’t can’t share your screen do you want screen or do you want to just tell us no like I mean sure I
(38:56) can just tell you because you won’t let me sh my screen so um so right now customer activity over the last 30 days um you can it’s a graph almost and what I can do is again if you sharing so you can share so the middle button right there you can share it let um it says you need to make me a presenter oh dear okay well now we’re testing my go to webinar expertise in real explain it yeah explain it see well I’ll just talk through in the last 30 days it shows that we brought in 77 new customers the revenue of that was
(39:39) $1,774 my returning customers is ,3 that revenue is over $22,000 it shows me that I’ve had zero loss customers in the last 30 days it shows me how many total contacts I’ve made in the last 30 days total sales in the last 30 days conversions and recaptured customers and also what our retention um percentage is as well um again it goes through and it talks about how that’s just what we’ve set up but we can ALS and you’re you’re now a presenter actually you should be able to SH now all right so I’m just GNA show
(40:19) this let me go back over here let’s see yes so again just real quickly can you see my screen yes L looks great so so folks look at this December right you can hover over when you see new customers leads opportunities Revenue I could dig in even more I can change this from 30 days to last month last quarter I can go through sales last month last quarter year to date so again this is just a screenshot of what we’ve done at Old Coast pickle ball in just the last 30 days and let’s be clear you know we’re a two-court facility so we are a
(40:59) lot smaller than a lot of your facilities but the decisions that Tim and I can make just using this data right here without even digging in any further is really powerful awesome I love it and here’s the cool part with this if you scroll down a tiny bit on your screen there Ashley and you’re going to see that conversions card um so that conversions card is the one I was talking about where that is the actual Revenue that is that someone that someone spent with old Coast within seven days of interacting with a text or an
(41:33) email and that that’s incredible like think about that that’s a 7day snapshot um now now someone Skeptics Among Us will say like well gosh you would have gotten some of that without this yeah probably absolutely you certainly wouldn’t gotten all of itthat’s the other part right like it’s so it’s it’s really cool to be able to see that data and um and there’s very few systems that provide marketing um tools that actually even try to tie it back to Roi it’s just like hey we send emails and stuff um so we’re trying to to tie it back to Roi which is
(42:08) good um okay cool all right let’s keep going here great great job look at us working on the Fly Ashley man awesome how we here high five for Ashley here um okay um let’s see social [Music] media software system reserve and Patch I’m trying to find here okay we have family memberships um Santos says we have family memberships and children under 18 or list with their email addresses are they excluded from email campaigns yeah so we we can tell the difference between a guardian and a minor within patch that’s really
(42:50) important as you can imagine to not be texting and emailing people under 18 so um yes we are able to tell the difference between them and it won’t allow you to send emails or texts to folks under 18 as a general rule um for texting is it possible to Port over an existing phone number yes it is Joshua really good question question um it is possible to do that generally it’s easier to just get a new number for the texting and here’s the people get like oh my gosh are they going to recognize it’s my number I got
(43:19) news in 2025 no one knows any numbers anyway I think I remember my home phone number from when I was a kid and my wife’s number and that’s I couldn’t tell you my kids numbers on their phones um I just know that it shows up as their phone so like no one knows your number it’s hard to hard to realize but in yes we can not a big deal to do that though frankly um let’s see is there an email builder in patch to so we can build the email campaigns yes there is an email Builder you can do just plain text email if you
(43:54) want you can also do like more sophisticated emails with images and headers and colors and fancy stuff so yes there’s a very simple email Builder within patch really good really good question um let’s see do we charge for text and email in addition to the fees so yeah let me walk through this we’re getting a lot of questions about costs let me just kind of walk you through how we charge so you pay whatever you pay court Reserve that doesn’t change we have nothing to do with that yeah um patch has a subscription
(44:30) cost um and then we charge for each text that is sent beyond that that’s it so unless un you have like an absurd number of contacts which most businesses in this industry don’t like have some crazy number um but we charge for Tex because we have a hard cost with with that we have a hard cost associated with that so we try to recoup that cost um but yeah that’s the additional charge so you you would pay patch and you would pay court Reserve separately it’s not like one bill but yeah Ashley go ahead yeah so Court Reserve is not charging you for
(45:05) this this is part of what you so if you guys just know upfront like we we know that this is something that we have needed over the past couple years we know this is important we don’t charge you for this let me just kind of stand up because I know people are like oh why do I have to pay extra for text if you use text in court reserve it cost it costs you would you would be surprised how much text messaging costs for any business who sends text even if you go to make a resi dinner reservation resi’s paying for a text to send to you so
(45:33) unfortunately texting just part of the what most businesses have to recoup um so I don’t want people to think that oh just nickel and diing me because text cost everybody and that’s why if you’re Court reserve customer we tell you to use push notifications so okay go on no it’s a really good point um so yeah just to reiterate Court Reserve doesn’t charge you any extra for using this integration right not a dime extra right patch we charge a subscription fee by the way that’s discounted because you’re a court
(46:02) reserve customer so if you were just a random business who signed up with us the cost that we would charge you would be about 15% % more than what we’re going to charge you because you’re a court resered customer it also depends on how many locations you have that kind of thing um and then we just charge a per text fee on top of that that is nominal it’s 1.
(46:24) 5 cents per text so that usually is adds up to very little as as people text so um yeah good questions um so Joshua asks in the conversion metrics how do you define engagement in the last s days does this mean clicking on an email or just opening an email I believe it means opening so it’s anything that they actually do so it’s not like did they just get it Joshua it’s a good question it’s like did they open it did they click on it did they do something with it um good question Douglas asks how do we set up patch so um after this call we’ll have a team

(48:02) super excited and then we call them a week later and be like hey you haven’t sent anything and they’ be like oh I haven’t had time to write the copy for the dang email and we’re like oh okay and so what we started to do is actually put a little bit of Copy in there as a baseline for you so you can change it and you don’t have to use it but we just wanted to give you something to like help start the engine a little bit because we know you’re you’re really busy and while he’s looking at the next questions I just want to mention I’m
(48:34) trying to talk McKay and the patch team you know Court Reserve Catalyst are user conferences for all of our admins uh we already have the next two dates Phoenix is in March Austin Texas is in April we’re coming to Seattle we’re going to do the desert and California in June you can go out to court Reserve look for Catalyst I’m trying to talk McKay and some of the patch team to come out with us so you could meet them in person and kind of you know if you’re interested or if you’ve already got it set up they can
(48:59) sit down with you work on this so again like don’t think this is the only time that we’re going to be you know doing things together because we are going to you know try and do things together this year as well so yeah we’ll we’ll be there um whenever whenever Ashley will let us show up we’ll be there and we might just wait outside the hotel if she doesn’t let us show up we’ll just um no we’ll be there and then we we’re going to host like regular webinars too with court Reserve like I think we talked with Tim about doing something like
(49:27) every quarter and then for people who sign up as customers for for patch as well we’re going to start doing like monthly Ashley suggested calling it like office hours where it’s almost like hey come and we’re just going to like train you on how to do something so in addition to the SE customer service we’re going to provide and the onboarding we’ll do some sort of office hours like that so don really good segue she asked the question what kind of customer support do you have beyond the onboarding phase great question so um
(49:56) I’ll two things first is the onboarding phase can be kind of as long as you need it to be like we will work with you until you’re till you understand the product so I’ve been really clear with our onboarding team like hey this isn’t like a two phone call thing and then it’s like see you later we Rite off into the sunset so we will like stay with you until you feel really comfortable and then beyond that once you’re logged into patch there’s a little like texting widget in the bottom left hand corner that um you can
(50:28) just click on and immediately start a texting conversation with us about something in patch that you have a question on you can also so call us at the number on our website or email support patch retention. and we’ll answer any question at any time um and uh try to help so our CS team is is awesome they’re super busy and I’m trying to get them to hire more people but they’re so busy they’re like having a hard time hiring people quickly enough so it’s a good problem but we’re trying to hire more their as well so if you
(50:59) know anybody um let’s see yes someone saying hey Florida’s nice this time of year I don’t know about that I just saw you guys got snow down there so uh I don’t believe you no we did not get St Augustine no snow St Augustine no snow just in Dustin and some other places all right um cool so again I think we’ve hit most of the things um cost like I’ll give you a ballpark but again it differs by the business so like I’d say 300 to 350 a month is where most businesses are going to be plus the texting charge and there
(51:32) is a court Reserve discount associated with that but again there’s some variability so my sales leader who’s probably on the call just like wanted to punch me as I said that but because it is going to be variable but um that’s roughly where you’re going to be and you know sometimes I mean like I’m I’m abusiness person right and you know when you think $300 a month oh my gosh right but how much would you spend in regular marketing or man hours to grab $110,000 or $20,000 extra per month so I know that it seems like a lot but I would
(52:06) definitely recommend you get on with them and help them help you understand where you need help with your automation because you may not want to send out birthday text you may just want to set it and forget it for all your new existing or your lost customers so again you have to look at the return on investment just like you do with court reserve and make a good business decision based on what they show you on your own call with them yeah well and here’s the other part too is like what we found is that most businesses and in in this space are
(52:44) usually paying for like an email marketing company that amount anyway just for email blasts like none of the automation none of the loyalty programs none of the texting they’re just like yeah we’re paying like 400 bucks a month to MailChimp um and they’re just sending like three emils every once in a while it’s like look we can we can help you do a lot more than that and and in a far more automated way plus you get texting and a ton of other stuff so the ROI is really clear and and Powerful so awesome um so what’s the next step um um we’re

(02:11) that’s fine and I think in some ways I I take that as it worked out for me because I feel like a lot of our um female tennis players they play college ball and then they get so burn out and they leave the industry so I just reflect on it like that it worked out it worked out for me and that so I’ve been teaching since I was on and off since 18 did not intend it to be a career it became the career um so I worked at clubs in different countries in on the west coast I built a tennis and fitness facility in Puna
(02:49) Florida and then um Hurricane Charlie hit in 2004 and my house was condemned and the whole town was leveled and at that time I was not fun and I thought I’m leaving the tennis industry and then there was an uh advertisement uh looking for cardio tennis manager USA and I saw the job description and I said wow this is like this is me like my picture should be here and I um submitted my resume and they picked me and here we are 20 years later wow that’s an incredible story like lemons into the lemonade there yeah yeah and
(03:37) and it is this is the 20 year anniversary of cardio tennis so it was launched at the US Open in 2005 so we’re very excited that’s a big anniversary 20 years wow that’s incredible so um you you were a part of building the first cardio tennis programs then yeah so um it initially cardio tennis was under the banner of the tennis industry Association and uh Jim B who was the president of the Tia and a US board member at that time and Jolene deor she was the executive director they came up with the concept Etc and then they hired
(04:16) me and you know here we are here we are today all right so tell us exactly because I’m an adult tennis player right I go and I play tennis at my club and I personally love cardio tennis but but my cardio tennis probably looks a little different than what your cardio tennis looks like so tell us the vision and what cardio tennis is supposed to be yeah thank you for that so I I think if we put it into perspective of what is somebody seeing what is the visual okay when somebody comes across a cardio tennis court okay and it
(04:55) should look very it should look and sound and feel from an energy standpoint ex opposite polar end of what traditional tennis um historically is so what I mean by that is if you were coming up on a proper great cardio tennis court okay one you’re going to hear the music and the music is very uh high beats for per minute it’s dance it’s electronic um you should feel like you are in a nightclub all right that’s why we say cardio tennis is a party on the court so you’re hear you should be hearing that so that that’s starting the
(05:38) vibe that’s creating part of the energy the court is going to look different okay you’re going to see an agility ladder you’re going to see flat markers you’re going to see red and orange cardio balls okay so visually it should look different there is specific equipment um you’re going to see a a group of of six to eight athletes who are in constant motion and having continuous touches on the ball and they’re doing cardio blasts and they’re just smiling and they’re laughing and they’re feeling empowered so that’s
(06:17) cardio tennis wow so this sounds like they have to be like really good tennis players like what’s our athletic ability when it comes to like a cardio tennis class so that’s one of the beauties of cardio tennis and and I’ll backtrack andremind everybody that it is group fitness so it’s not a tennis CL class unfortunately it’s being delivered as a tennis class and not group fitness so one of the greatest benefits of cardot tennis is its inclusivity okay we are all about that so it doesn’t matter what your tennis or
(06:52) Fitness level is and let me say that Fitness level is equal to or more important than tennis skill and our coaches need to recognize that okay because when you use the tools the standards which is the red and the orange cardio balls we also have the two bounce rule which we can discuss those are all the great equalizers okay so we want to be welcoming to everybody because that’s the only way we’re going to grow our sport I love that so from what I’m hearing so there is a a class maybe that we can learn as instructors or we could
(07:35) if we’re a club we can send our instructors or or teach have them taught how to do a cardio class talk more about how that works yeah so I will say I’m pretty proud of our education over a 20y year time span as you can imagine um our education um has grown morph gotten better every single day changed has gone through many different phases um of course I’m biased but I would say that our education is some of the very best tennis education out there and and because what it’s teaching somebody even if they never do cardio tennis okay it’s
(08:14) teaching an instructor how to better manage groups how to do modifications okay how to keep things exciting how to um coach better from a you know queuing standpoint and not just constantly talking talking talking those sorts of things so um one of the things that we’re very proud of um is we did have um we have a product uh we don’t promote it as much but it was um we partnered with TRX suspension training and we worked very closely with them for many years and so this amazing product of a combination of TRX suspension
(08:57) trainers on the tennis court uh with the cardio tennis and I think what is resonates most there is that course that eight hour course was on the TRX professional development page okay meaning tennis has never never been included in the fitness world and you know I I cannot um give that enough credit for how like critical that is and and we always say that tennis is Fitness so there’s TRX cardio tennis um our current live courses um right now they are five hours we pack a lot into five hours um like anything it’s a it’s
(09:42) a taste it’s a snippet okay like getting good at Cardio tennis just like anything you would have to you have to practice so you know you’re not with us for five hours and we’re May waving a magic wand you know go do c no don’t go do it tomorrow because you’re having to put together a lot of stuff like 8 to 10 unique activities okay is the foundation of a proper cardio tennis workout um we have a course coming up in Chicago um we have a course coming up in Las Vegas uh we’re always adding um to the uh the course schedule and you can
(10:22) find all of our information at Cardio tennis instructor okay well we’ll make sure and Link that in the YouTube video as well so so talk about like when why coaches should consider learning cardio tennis like what is what have you seen that do to like retention at a club or even introducing players to tennis in the beginning I mean like what has that done and why should coaches you know be interested in cardio tennis well I would say number one reason money oh that’d be my number one reason if you as a tennis teaching
(11:03) professional want to make more money then cardio tennis is your answer right so um there have been uh there are coaches in the US that have said you know Michelle because of cardio tennis I put my kids through college okay that’s a huge that’s a huge statement okay um we have coaches in the states that that’s kind of all they do like they don’t have to do anything else because their cardio tennis programming is so strong and maybe they’re doing they might be doing 15 hours a week of card tennis programming so they’re not having
(11:47) to do um a lot of extra maybe privates or or group things because they’re making a really good amount of money we’re not going to make a lot of money putting one person on a court it’s just it’s just it’s it it doesn’t make sense for anyone it doesn’t make sense for the tennis coach and it doesn’t make sense for whoever owns that facility okay this is why tennis courts get taken away because we are not generating Revenue per square foot all right so you need cardio tennis so that you’re putting at least eight people on
(12:23) a court at a time and I would go so far to say and especially if you’re indoors okay there should be no private lessons Okay minimally you should be putting four people on a tennis court every single hour how else are we going to survive as an industry wow what is the go and like how long is a normal cardio tennis class and what have you seen rates for that class for students yeah so it’s one hour and I’m going to be very clear that it’s a60 Minute it’s not 90 minutes and there are 90minut C C things out there okay so
(12:55) what happens at 90 minutes is it’s not cardio tennis anymore because cardio tennis is high-intensity tennis training high-intensity interval training okay most hit classes hit Fitness classes in 2025 are 45 to 50 minutes so if you’re doing cardio tennis for 90 minutes one of two things is happening you’re either overworking the athlete okay and or you are underw working them and okay and I would air on it’s mostly being under worked so 60 Minutes um prices across the country uh the average in the US is about
(13:43) 2223 per person okay so you’re going to see it maybe at the low end at $15 per person um I have literally seen it as high as60 to70 per person wow those courts are special they’re special um I will tell you that those are those higher prices you’re you know we’re talking in some markets in Northeast cold climates resort resort um and I would say that some of those especially the resort the quality of the cardio is very very poor yeah so um I think you know you’re going to find most people in that 20 to $30 range per person yeah so just
(14:36) multiply that by eight yeah wow have you seen it with like Juniors or is this mostly an adult Fitness class it it’s it’s earmarked for adults I mean we say that um basically the age it’s 12 years old and up okay so so 12 and up can do c it’s great for high schoolers all right so I mean all high schoolers should be doing cardio tennis right I mean what is cardio tennis it’s friends it’s social there’s music there’s games there’s technology if you’re using heart rate monitors I mean that is what that age bracket that is what they’re all about
(15:18) um so yeah so we try to be at a lot of the High School coaches conferences Etc and know try to you know educate them and and you know help them to understand um but yeah it’s it’s an adult program because our adults are neglect it okay it’s getting a bit better but if you look back um adult tennis players I feel have been neglected and there’s not enough offerings for them um and we need to do better well it’s like I told you earlier so I mean I work full-time right and so I have limited time to actually go and
(15:56) play tennis and there’s nothing like knowing that I can go to my local club and play for an hour and get all my workout in because I don’t have two and a half hours to go play a social match during the day or first thing in the morning and so I love the fact that the class is compacted and I can get all those calories out within 60 minutes right and when it was when it was born back in 2004 2005 one of the main key factors was because again this was not just made up all right everything is very purposeful okay and when it was
(16:31) created at the time uh the Tia Jim and jolen they looked at they looked at data okay and and Jim was like you know how Fitness activities are kicking the butt of traditional Sports again I’m going back to 20405 how can tennis compete with that and that’s how cardio tennis was born so part of that whole scenario was Americas are Americans are time well we’re all time crunched we’re time crunched okay you and I work really everybody works really hard we got 60 Minutes or Less right we got to get it into that and has
(17:13) to be effective yeah right yeah and fun I wna have fun oh my goodness for sure so we’re uh we’ve got a couple questions coming in and we will answer your questions um I want to talk about a few more things before we get to those questions so I know that in a couple weeks at my club we are doing a fundraiser and we’re using something called triples can you talk about triples because we did a little Showcase of it at the club the other night and I had a blast yeah so those who know me they will know that I will say that triples
(17:46) is the greatest game in the whole world okay so it’s a signature cardio tennis game um it kind of like um represents everything that cardot tennis is all about um so on cardot tennis instructor. comom we have uh free online education uh there is a course on how to run a triples event and we come back to making money so charity events making money for your own personal at your Club Etc um and we do call it cardot tennis triples because it’s pretty specific how it’s played um it also works on the pickle ball court okay okay it it also
(18:30) works on the padel court okay but but the only difference with padel because how we position triples is again inclusivity okay so we could take a complete novice tennis person get them onto the triples court and within 10 minutes they’re doing just fine now what why are they doing just fine okay because you look at pickle ball and again we have a um it’s an easy it’s easy to get started with okay in triples because we put three athletes on the court we’ve now Shrunk the size of the playing field so that makes it easier okay we use the orange
(19:16) cardio ball that makes it easier we use the two bounce rule that makes it easier all right right so it’s very very uminclusive um and there are we do a self feed so it’s just an underhand an underhand put the ball across the net it can go anywhere in the court and it’s fast and furious with tons of tons of touches on the ball so I live in Sarasota Florida I always say triples is cultish here um everybody does it uh we’ve always said like we my vision is that and it does happen here in Sarasota my vision is that athletes will
(19:55) they will go out and play triples on their own like just like they do doubles now granted I know it’s harder to find it’s hard enough to find four people let alone six but it can it can be done um and you know the the amount of you know fundraising charity events that can be done with this a lot of the high school teams they need to do fundraising uh we do big one here in Wellington Florida it’s for dog rescue um I think 15 to 19 courts of of triples going um making just a lot of a lot of money so it’s um everybody should play triples I can’t oh
(20:34) backtrack to pedel so the difference with padel is that padell you actually have to be a good padel player and here’s why because again it’s a it’s a smaller Court you’ve got you’re putting three people it’s too dangerous okay so so triples and padel you have to have athletes that actually know how to play padel fairly well because beginners it will not be yeah it’s I mean because everybody’s getting hit in triples anyway under normal circumstances um so yeah we just Safety First safy orange Ball please I say this over and
(21:23) over again please never use the yellow ball in triples no matter how no matter how good no matter how good your athletes are okay because it’s about the workouts right right it’s not it’s not it’s not tennis it’s Fitness all right and I’ve you know I’ve had D1 Ballers X Tour players on the triples Court using the orange ball big huge forehand guy gets hit right here next orange ball next day massive black and blue Mark orange ball not even the yellow ball wow not even yellow ball so please don’t please please out there remove Universe tennis
(22:09) Universe do not use yellow ball for triples thank you goggles and orange balls please yeah yeah yep all right so let’s get a couple of our questions uh let’s see the first one Michelle I know you talked about cardio tennis being an equalizer regarding various levels on a court but what’s your thoughts on students who want to form their own groups specific to their level great question I love that I love that and you should be doing that so first it’s always about you’re offering both okay so if you’re starting cardio if you’ve
(22:43) never done any cardio program at your Club you need to start with the inclusivity in all levels okay um because you have to grow your program and again that’s kind of the whole purpose and you should always always have that I would position it more as um private cardio tennis okay so let’s say that you have a men’s 4.
(23:04) 0 team and remember cardio tennis is how we train for tennis okay that is like its biggest purpose all right so telling somebody to go out and J dog one mile five miles in a straight line that is not helping their tennis play okay riding your bike is not helping your tennis play training cardio tennis is the very best way to train for tennis competition right so then what you do is you say Okay so this men’s 4.
(23:44) 0 team this is going to be your Fitness and conditioning part of your week this is your time slot whatever it’s only these people and you’re going to charge a little more because it’s private okay now let me add on to that I I do not recommend in general having skill based like publicly skill-based cardio tennis classes because as soon as you do that we’re not being inclusive okay and if you’re doing cardio tennis correctly with using the orange ball and the two bounce rule level doesn’t matter very good I hope I hope that
(24:31) answers yeah that was good um another question can we use green dot balls for other games and drills yeah um so green is better than yellow okay but it’s still too hard and too fast all right so one of the best B and believe me the green Ball’s my favorite ball that’s what I that’s what I personally train with all right but for cardio tennis again a lot of our games are three people on the court okay and safety is our number one priority so if you if one steps on an orange ball the chances of someone turning their
(25:09) ankle are slim to none okay that probability goes up higher with green highest with yellow of course again you get hit with the green ball in your eye it’s not that far off from yellow yeah the orange ball does not come to you does not come to the athlete the athlete has to go to the ball this is a fitness class okay so just with that ball and that movement you’re training First Step quickness you’re training the ability to get better at digging out low balls so remember everything has a purpose so I would say if you need to use it use
(25:52) it it’s better than yellow okay but the standard is the orange ball okay verygood um we have something uh let’s see Bill riddle is asking is it true that Michelle is known as the cardio Queen of the world he’s asking for a friend so hello Bill hello Bill we love you all right uh tell us about National hit to be fit day yay my favorite thing all right so last year was our first inaugural event um and it was I feel it was um we had a lot of really BigTime goals um we’ve got really close to our goals but but here’s how that all came
(26:33) together um this is a day one day so so we know that well a lot of people don’t know may is national tennis month so it’s surprising I can go around the country and many people don’t know that may is national tennis month so it’s a celebration of tennis um so one day is about the industry as a whole coming together to Showcase and celebrate the health and wellness benefits of tennis and the inclusivity um all on one day we’re on one day we’re all essentially doing the same thing um which the format for this day this event is there’s an adult red
(27:22) ball piece okay and then there’s cardio tennis triples so what better way to Showcase inclusivity right like anybody you’ve never played tennis you can do hit to be fit day um again cardio tennis nothing really um exemplifies the health and wellness benefits of our sport of our great sport um than that so you’re putting those two things together it can be a 90 minute to 2hour event um we’ll have some incentives um those those aren’t quite set in place yet but we’ll have incentives for those that um you know want to be involved in participate
(28:05) on that day we will have a registration um so there’s going to be each year our national tennis month keeps getting bigger and bigger so our Flagship uh location is Lake Nona and um our goal we had 110 athletes last year at Lake Nona our goal this year will be 1160 so that should be about 20 courts and then um our goal for providers across the country will be 300 locations um doing the event that day last year we’ve got 200 so um I think we should pretty easily get 300 this year well we’ve got uh over a hundred registered for this so
(28:50) we’ll just start emailing them about getting them on the that’s 100 more right there so that’s 100 more and it doesn’t and and again I want everybody to look at this like you can make money on this okay we’re not asking you to offer this for free all right so like you should be you know you should be charging you know charge what or you can do it for free too but free remember free people get they’re not as committed all right um but you know be on the lookout for you know myself and Ashley cardot tennis instructor. comom when you
(29:22) know we have some of those other pieces in place that’s exciting um so we’re starting to get a couple pickle ball questions uh and how that relates to cardio tennis so I guess right off the bat pickle ball and cardio pickle ball tell us a little bit about what you know how is that going to work yeah so I appreciate all those questions and I get um for many years uh that question comes up a lot um I want to be clear I think there’s people out there that think I’m anti- pickle ball and I am not okay I mean I am happy for anybody doing
(29:55) something that they’re not lying on a couch um and they’re getting out and exercising um I I you know I don’t appreciate them taking our courts all right but I think that’s I think that’s fair um so yeah there’s a so can I do cardio pickle ball I guess I’ll say just because one can do something does not mean that they should do something right and this goes back to what what are what are the origins of cardot tennis there was a big need for that all right because again we’re putting two people four people on a
(30:37) court they’re not we know the tennis at at a little more skill level is the most amazing workout but that was not happening for the majority the beauty of pickle ball okay the beauty of it and why people like it so much because it’s just great in its own form okay so you are getting a lot of touches on the ball you are getting a workout I’m not saying it’s as good of a workout as cardio tennis okay but you’re but there is a decent workout happening there and I’ve seen so so if you are going to do cardio pickle that’s obviously your choice but
(31:13) you I think you have to understand cardio tennis first and we do get pickle ball coaches that come to our training okay all right so because a lot of the cardio pickle that I see out there online video sadness like what what is cardio about it okay just because you’re playing some music so what what I’m seeing with cardio pickle is okay now you’re trying to put six or I don’t know eight people on a in a very small space and nobody’s moving oh okay yeah so that you lost the fitness part of it so so if you want you know again
(31:55) anybody can do anything they want um and so I but I just would recommend if if you if you want to do cardio pickle then I would get I would understand cardio tennis first and all the pieces okay that because cardio tennisit’s a format it it purposeful okay there are time hacks just like any great group fitness brand all right there’s another question like a followup to that how would you adapt triples to pickle ball so there’s really not I mean I’ve done it with eight people on the court I’m actually going to be at fiser Island Miami um
(32:38) this weekend and we’ll be doing triples both on the tennis court and the pickle ball court um you know just again safety’s always first so if you’re going to choose to use the pickle ball okay which is pretty normal um you know just caution your athletes to not try to intentionally hit one another um it it work you’re not going to use the two bounce rule okay because we’re already in a very tiny tiny space um you could use the red ball um but I think for most people you know they want to stick with the um the tra the standard pickle ball
(33:12) which is fine and there’s really not there’s really not any add but also understand triples so please go watch the course online okay so that you know all the ins and outs of it all right we got like several more questions in here great um do you notice a resistance from some of your better adult players about having to use orange or red balls so I think we get caught up on that okay and um number one I’m never bringing attention to those balls it’s just like here it is all right so let’s talk about the better player and and I
(33:46) find that it’s not really usually the better player the better players get it so 40 and above is get it it’s the middle section that really doesn’t get it okay so one we’re there for a workout like you you just have to keep repeating that if you want to play tennis and do traditional tennis then go play singles or go play doubles okay it is it is a workout so for the advanced player um they can still the beauty of that orange ball is that they can still hit that orange ball at their Mach 1000 okay or whatever their speed is and the
(34:29) beauty is that the whoever’s across the net from them they still have a chance so it’s not hindering their workout at all all right and then people will say well Michelle two bounce rule well I’m so good I don’t need that okay right um we’re all so good um benefits for the two bounce rule for the advanced athletes is one now their brain has been trained their whole life one bounce so now they have this other option so that is that is a that is mess with all the synapsis in the brain and you’re having to like it’s
(35:18) scrambling and you’re having to like readjust and you’re having to readjust your space your positioning and your timing to the ball so that essentially is making one of better athletes okay number two with the two bounce rule um the angles that are created by that better athlete are completely insane okay and the balls are now staying in play like nobody came to hit and rotate okay we came to touch we came to touch the ball so um I I think as coaches um that’s why we’re the coaches that’s why we’re the certified tennis
(35:56) teaching professionals um because we have been educated on what is best for our athletes so it’s there’s empowerment there’s um you know there’s again it doesn’t matter total beginner Advanced athlete there are benefits um of that advanced athlete hitting with an orange or a green ball it’s a training it’s a training tool okay oh Ashley I’m gonna I’m gonna say my I’m gonna say my statement that we talked about before we got call okay so um the true sign of a great tennis player SL racket sports athlete is that they are are good at
(36:40) hitting all four balls so red orange green yellow I’ll throw the pickle ball in there too okay so they can hit all of those balls well and they can do it on any quartz size that’s the sign of greatness in a racket Sports athletes oh I love that that’s good stuff um another well this is a great follow-up question what adjustments would you make to do this on a clay Court none none so that’s how we have the two bounce rule I mean we’re in I’m in Florida you know Florida’s all clay but yeah I would make no no adjustment
(37:30) and you use the two bounce rule for all the games during card so two bounce rule um is obviously it’s more specific to games um you you can do it in the drills like here’s the thing where on my court if they need three bounces take three bounces like if you need 20 bounces take 20 bounces I I want to empower that athlete all right so obviously in Florida we have a lot of senior athletes okay um or you have beginner you know you have new people it’s terrible for them to not get to the ball or miss the ball like they they
(38:08) then they’re going to feel they’re going to lack in confidence they’re not going to come back okay now what you know we do doovers okay so if you miss if you miss the first ball in the game it’s a doover because why would you want to miss and have to rotate there is this is not tennis everybody this is Fitness make it make it accessible that’s all right give them all the bandwidth right to get that ball backover the net I love that um here’s a question how do you manage the noise coming from the cardio tennis court
(38:42) sometimes people complain on the other courts about too much noise many times it’s group lessons that run you know are running on other courts that’s a good question sure sure so that’s been a question since the dawn of time um pickle ball has that question as well too um so number one um with your cardio programming and I think this is where Court Reserve could is probably helpful yes um it should be like if somebody is booking a court next to the cardio tennis court they should know that they’re booking next to the cardio
(39:20) tennis court so that they have that option of choosing not to book that court so that is so can Court Reserve help there Ashley yes absolutely yeah and I also think too you know cardio tennis could also be on specific teaching courts that you have all your classes on not just for card tennis as well and so there’s a lot of scheduling um recommendations that we can do for that as well okay so I think that’s the beauty of Court Reserve also do not put cardio tennis on the back 40 it needs to be front and center
(39:58) do you want to create excitement on in at your Club do you wanna I think the greatest thing is you have tennis and fitness and the fitness building is like next to the tennis court and there’s windows and they’re on you know bikes and treadmills they should be looking out at the cardio tennis court seeing all that action and activity um so you got to put it front in Center so again knowing um okay you know if you’re booking this court for your doubles cardio tennis will be next to you the noise okay it’s not the music
(40:30) and if you’re you know don’t be playing your music too loud and I think that’s a mistake that a lot of coaches are doing okay you know the music should be at a nice level the noise is coming from me is the instructor it’s coming from the athletes on my court because we’re yelling and whooping it up and laughing and you know that sort of thing so if if if if music’s your issue um think about what level you’re playing the music at I mean we’re we’re we’re kind of gonna drown out the music the flip side to that is you’ve got you know permanent
(41:02) Court time whatever where you have people that have that court and the one day that you don’t have the cardio class they’re disappointed because they love the music music okay like music is rhythmic it just it kind of breaks my heart Ashley that we’re in 2025 and we are still having music issues on the court okay again pickleball look at pickle ball uh they’re playing a lot of music a lot of the time right and here we are tennis oh we’re not going to play any music so we have a lot of facilities out there that
(41:39) do get it they’re playing music all day long at their facilities okay maybe not during league matches but that music is pumping throughout the M the facility the majority of the day so I hope that helps yeah how often do you have to get new balls uh I’m a I I’m probably the worst person to ask for that because like I will use a ball until you know it’s disintegrated more or less um so I’m probably not the best maybe Bill riddle wants to if he’s still on the call maybe he wants to chime in there on that um you know it just depends on if you’re in
(42:24) clay hard how much you know how much usage you’re getting I mean I think you you kind of know when your orange ball has uh exceeded its lifetime its life limit but but let’s talk about balls here for a second again a myth okay you do not need a gazillion balls okay what you need for cardio is a travel cart okay not the big old huge metal clunky carts okay and in that travel cart 60 70 balls that’s all you need okay because it’s a games based product we do so many partner activities in the warm-up and cool down drill is 10
(43:00) minutes 10 minutes that is it okay so there’s very little ball pickup so don’t I I I still see I can go to some clubs and I’ll see them bring out two ginormous metal carts all full of yellow balls and that’s their cardio tennis and it’s all drill based and the court is just covered in yellow balls not safe not fun not cardio tennis wow look I’m getting all on my bouncy ball here okay I love it uh that’s it let’s see um in Australia they had cardio classic for intermediate players and cardio play for more advanced players cardio play
(43:42) appealed to more men and cardio classic appealed to more women and created a split you recommend not following this model question mark correct um I’m going to put all people on the court together why are we separating men and women um orange ball all levels it’s just orange ball all levels okay again have people form their own private cardio tennis class but make it private okay like don’t now again I’ll give you an example um a lot of reasons why this is happening or why this happens is because one there’s no
(44:26) education the the deliverer has not taken education and it’s being made up if you follow if you do the education ifyou follow the format these things become just a non they become a non issue um so yeah so I would say um the majority out there is is not following the the people that are making money the people that are sending their kids to college on cardio tennis they’re following the format well you got kids who want to go to school follow cardio tennis format uh it’s it’s arguably you can say that midtone Chicago in is is the most
(45:08) successful cardio tennis programming from a financial standpoint okay they ballpark they make half a million dollars a year on cardio tennis programming okay half a million like wow okay like like even if you made 30,000 more like that’s huge right but they that’s they generically make about a half a million um so they probably have on average 25 hours of cardio programming on a weekly basis okay now they are a facility that does um they do segment VI ability level okay but the reason they they’re an anomaly okay
(45:45) because if you’re not in a program you’re not getting on a court essentially because they’re that busy right so so you can say that’s great okay we’re not all it is a unique it is a unique scenario essentially just it’s Chicago it’s a ginormous city there’s only so many courts Etc um but that just shows you the revenue making potential wow I’m about in I’m about inclusivity on the ten and that’s again I’m gonna go back to pickle ball everybody that’s why people love it because they’re all playing together that’s right yeah right so we you know
(46:29) we we we need to learn some things from pickle ball that’s all all right just a few more questions here um I guess the orange ball for cardio tennis they could just get from their regular um company that they buy their other tennis balls from correct yeah so right so the the the manufacturers like your Wilson your babot your head onc court offc court uh I think you can get orange balls on Amazon um yeah but again don’t go crazy you only need like 60 or 70 and red ball you need maybe three three dozen red balls okay uh let’s see what are some
(47:04) great ideas we as tennis coaches should steal from our group exercise colleagues to make cardio tennis even more exciting so I think number one if uh if you tennis teaching professional and you have never been to any group fitness class you need to go okay so every time I do live education I will ask the group who here has done group fitness okay and that is a spin class that can be a boot camp a hit an orange theory an f45 I mean the list is endless right as if I have a group how many people do you think raise their hands not many very
(47:43) few okay so if you’re going to deliver cardio tennis you need to go to some type of group fitness class okay to understand what the vibe okay and what you should be modeling okay as a coach all right so so group fitness instructors actually make amazing cardio tennis instructors okay because guess what they don’t need to do technical stuff okay we can teach them how to feed the ball very easily because they don’t have bad habits right so and if need be they can throw the ball into play all right but they understand group management they have
(48:27) that energy that Mo those motivating factors so um you know if you do a spin class or you do orange theory pay attention to the instructor they are rock stars all right and that’s what we that’s what we so if you’re take any thing away from group fitness you’ve got to take group management skills modification uh and progressions and be a rock star wow that’s great um let’s see do you have people who pay for several classes in advance or do they pay per session great question and I think this is where Court Reserve can help us out
(49:01) as well too um so I I I think it depends on your Market [Music] um again it depends on your facil your your facility and your unique your unique circumstances so there’s going to be many facilities that it’s like okay this is a six- week cardio tennis session all right and I know that in court Reserve that can be done very easily right ashle or or you can do it as a you however oneoff okay well we you know we have cardio on Saturdays and you you sign up as a as a one-off scenario so I think or you can do a combination
